Role DescriptionWe are seeking a highly organized, proactive, and discreet Executive Assistant to support three senior executives and serve as the operational backbone of a growing investment firm based in Nashville, TN. The role combines high-level executive support with ownership of office management and coordination of travel and events for the firm. This is a critical position in a lean, high-performing environment where attention to detail, judgment, and the ability to anticipate needs directly impact firm efficiency.
The ideal candidate is someone who takes ownership, anticipates needs before they arise, and elevates the effectiveness of the people and teams they support.
- Provide comprehensive administrative and strategic support to three executives, including calendar management, prioritization of meetings, and preparation of briefing materials.
- Handle sensitive information with absolute discretion; serve as a trusted gatekeeper and first point of contact.
- Anticipate needs, track action items, and follow through to ensure seamless execution of priorities.
- Plan, book, and manage travel for the executives and management team as needed.
- Coordinate logistics for investor meetings, conferences, and firm events.
- Support finance team on expense reporting and reconciliation related to travel and events.
- Maintain up-to-date contact lists, travel preferences, and preferred vendor relationships.
- Own day-to-day office operations to ensure a professional, efficient, and well-run workspace.
- Manage office supplies, equipment, vendor relationships and budget tracking for office-related expenses.
- Support onboarding logistics for new hires and offboarding processes.
- Coordinate key internal meetings, firm-wide events, and hospitality for visitors and investors.
- Maintain confidentiality and uphold the highest standards of professionalism in all interactions.
- Collaborate closely with other team members in a lean, entrepreneurial environment.
- 5+ years of progressive experience as an Executive Assistant, preferably supporting C-level or senior investment professionals in financial services.
- Proven experience managing dynamic calendars, travel, and multi-stakeholder events.
- Strong office management or operations experience in a professional services or finance environment.
- Exceptional organizational skills, attention to detail, and ability to manage multiple priorities under tight deadlines.
- Excellent written and verbal communication skills; polished professional presence.
- High degree of discretion, judgment, and emotional intelligence.
- Service-oriented contributor mindset.
- Proficiency with Microsoft Office, calendar tools, expense systems, and project-tracking tools. Experience with CRM or investor-related systems is a plus.
