Office Administrator/ Coordinator
As Executive Assistant and Office Manager, you will provide executive-level administrative support to one or more senior leaders while overseeing day-to-day office operations, vendors, and facilities to ensure a well-run and professional workplace.
Essential Duties and Responsibilities- Manage calendars, travel arrangements, correspondence, and meeting preparation for assigned executives.
- Prepare expense reports, presentations, and meeting materials on behalf of assigned executives.
- Oversee day-to-day office operations, including supplies, equipment, vendor relationships, and facilities requests.
- Manage office budget and vendor contracts for supplies, catering, maintenance, and office services.
- Coordinate office events, meetings, and visitor logistics, including conference room scheduling and hospitality.
- Oversee reception, mail, and shipping/receiving functions, ensuring smooth daily operations.
- Support new hire onboarding logistics, including workspace setup, equipment, and building access.
- Serve as the primary point of contact for building management, security, and safety procedures.
- Maintain confidentiality of sensitive business and personnel information.
- Perform other duties and responsibilities as assigned.
- Bachelor's degree preferred; equivalent combination of education and experience considered.
- 5+ years of experience in an Executive Assistant and/or Office Manager role; commercial real estate experience preferred.
- Strong organizational and multitasking skills with keen attention to detail.
- Excellent written and verbal communication skills and a professional, service-oriented demeanor.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Demonstrated ability to manage vendor relationships and office budgets.
- Ability to exercise sound judgment and discretion with confidential information.

This position primarily works in a standard office environment requiring extended periods of sitting and computer use, along with periodic movement throughout the office to coordinate operations, vendors, and events, and occasional lifting of up to 20 lbs.
