Our Project Manager, Executive Support Assistant will perform administrative duties for our senior-level Director, AVP, VP, or Executives. This position will work primarily onsite at our Nashville corporate offices supporting multiple executive leaders.
Relocation assistance, and visa sponsorship are not available.
Our Project Manager, Executive Support Assistant serves as a trusted operational partner to multiple senior leaders, ensuring their time, communications, compliance requirements, and key administrative priorities are managed effectively. The position helps remove day-to-day operational barriers so executives can remain focused on strategic business priorities.
Duties and accountabilities include- Maintain strict confidentiality and exercise discretion in all matters.
- Provide complex administrative support, including correspondence, CV maintenance, and coordination across corporate functions.
- Manage executive calendars and coordinate meetings with internal and external stakeholders.
- Coordinate Conflict of Interest (COI) disclosures and related documentation.
- Submit contracts through Conga and facilitate communication with Legal and stakeholders to support timely execution and compliance.
- Plan and coordinate departmental meetings and events, including All Hands and RVP meetings.
- Manage expense reporting and reconciliation using SAP Concur.
- Perform other duties as assigned.
- Bachelor’s degree preferred; relevant experience may substituted for education.
- 3+ years of relevant administrative or executive support experience.
- Proficiency with Microsoft Office, including Word, Excel, and PowerPoint.
- Experience with SharePoint, Adobe, and Concur preferred.
- Proven ability to manage multiple priorities in a fast-paced environment.
- Strong interpersonal skills and ability to work effectively with executives, colleagues, vendors, and external partners.
- Experience with administrative procedures, organizational policies, expense reporting, and financial reconciliation.
