General Description:

Salaried position. Performs administrative duties for both the VP in

conjunction with Office management duties. Responsibilities include day to day management of staff,

screening emails, scheduling travel and meeting arrangements and managing databases. Requires

strong computer and internet research skills. It also calls for flexibility, excellent interpersonal skills,

maintaining a maximum level of confidentiality, project coordination, and the ability to work well with

all levels of internal management and staff, as well as outside agencies, vendors, publishers, and

authors. Some travel is required.

Qualifications:
  • Professional organizational skills.
  • Professional demeanor and communication skills.
  • High attention to detail and follow through.
  • Must be proficient computer literate, particularly in Gmail, Google Office, Excel, Microsoft Word, Asana, and Canva.
  • Must be able to manage multiple Google calendars.
  • Self-motivated and able to complete work without immediate supervision.
  • Discretion with confidential information.
  • Ability to multitask and problem-solve with excellent customer service.
  • 2+ years in an Executive Assistant role or equivalent of
Major Responsibilities:
  • Respond to emails/phone & follow up.
  • Schedule meetings and travel.
  • Create quotes and manage follow-up.
  • Attend meetings, take thorough notes, and ensure all follow-through action steps are completed.
  • Assist with personal matters.
  • Assists with providing custom quotes to new publishing clients tailored to their specific needs & project.
  • Daily management of staff to ensure productivity.
  • Answering telephone calls and emails from customers and clients and directing them to
  • Interview and on board new office employees/interns.
  • Keep track of office staff hours and vacation.
  • Report office progress to senior management and working with them to improve office operations and procedures.
