The Executive Assistant provides comprehensive administrative and operational support to the Vice President of Structured Finance and the associated leadership team based in Nashville, Tennessee. This role supports the executive responsible for delivering customer and dealer financing solutions for Caterpillar's Resource Industries and Power & Energy businesses, ensuring effective coordination of executive priorities, communications, strategic initiatives, meetings, travel, and day-to-day business operations.
The position serves as a key partner enabling leadership effectiveness and supporting the execution of critical business objectives.
Executive Support
- Manage complex executive calendars, scheduling, and meeting coordination.
- Prioritize competing business demands and resolve scheduling conflicts.
- Serve as a primary liaison between executives, stakeholders, customers, and business partners.
- Coordinate board-level, leadership, and cross-functional meetings.
- Arrange domestic and international travel, including itineraries, accommodations, transportation, and visa requirements where applicable.
- Support travel payments, expense reporting, and corporate card reconciliations.
- Plan executive off-sites, leadership meetings, team events, and business functions.
- Prepare executive correspondence, presentations, reports, and briefing materials.
- Create and distribute meeting agendas, minutes, and follow-up action items.
- Maintain organizational records, policies, procedures, and document repositories.
- Ensure accurate record management and retention practices.
- Track leadership priorities, project updates, and department deliverables.
- Coordinate information flow across global teams, functions, and stakeholders.
- Support process improvements that enhance executive productivity and organizational effectiveness.
- Handle sensitive and confidential information with discretion and professionalism.
- Build strong relationships with leaders, employees, customers, vendors, and external partners.
- Facilitate communication across departments and leadership teams.
- Act as a trusted resource for organizational coordination and issue resolution.
- Experience supporting Vice Presidents, Senior Directors, or executive leadership teams.
- Financial services, banking, manufacturing, or Fortune 500 corporate experience.
