Job Summary And QualificationsThe Contract Administration team performs a variety of operational responsibilities that are critical to GPO Operations, including but not limited to:
- contract price file management
- product-price-facility contract amendments
- contract lifecycle management system business approval and documentation workflows
- analysis, administration, maintenance and preparation for all member-specific (S2, Custom, Local) agreements
The position collaborates with various internal and external stakeholders including but not limited to:

National GPO Sourcing, Custom Sourcing, Account Management, Member Services, Legal - External:
Suppliers and Members
This collaborative process is critical to ensure that contracts are accurately implemented and maintained, since they have a direct impact on member performance including compliance, visibility, purchase order/invoice accuracy and customer service issues. This person must demonstrate an ability to work independently with minimal supervision and adhere to critical timelines.
What you will do in this role includes:- Analyze, research and correct price file information to ensure completeness and adherence to the Health Trust data standardization priorities and does not introduce duplicate items.
- Work directly with members and stakeholders to initiate local agreements in the Contract Lifecycle Management tool for appropriate approvals and documentation through the system.
- Ensure accuracy of the data which feeds downstream systems including members’ ERP systems, member facing catalogs, and external 3rd parties like GHX. Data quality is critical to ensure no disruptions to members’ operations and to maintain purchase order/invoice accuracy.
- Initiate amendments for price changes, product adds/deletes/changes, extensions, renewals and facility updates. Work with suppliers, members and internal teams to process requests timely and accurately for local agreements across all Health Trust members.
- Support the team by ensuring S2 and custom legal documents comply with the approved standard templates and do not contain variations in legal language. Coordinate with legal for approval or rejection of variations when required.
- Generate monthly reports to proactively manage contract expiration dates for S2, Custom and local agreements for contract administrators and leadership.
- Manage member visibility using the Pricing and Eligibility system and coordinate with the commitment team to ensure LOC visibility aligns with contracts for both new and expiring S2s.
- Provide regular member-specific S2 analysis and reports to internal stakeholders and members.
- Respond to inquiries from members sent to the department mailbox and address issues, including support of member data feed problems and questions.
- Route cases created and emails to the team mailbox to the appropriate Contract Administrator.
- Manage house accounts, non-affiliate members and support the UK contracting mailbox.
- Assist in coordinating large S2 changes or strategies by generating reports or creating templates/price files.
- College graduate preferred or relevant work experience in lieu of a degree
- 1 year of relevant experience preferred
- Learn and maintain knowledge of the Health Trust contract portfolio
- Advanced in Excel functionality and strong proficiency in Microsoft Office
- Salesforce experience a plus
- Ability to analyze, interpret and communicate effectively regarding new or existing contracts
- Establish and maintain long-term relationships, building trust and respect by consistently meeting and exceeding expectations of business partners
