Office Administrator/ Coordinator
Manage follow-up maintenance transaction lifecycle from origination until the customer unit is in the repair technician’s control/custody
Oversee assigned projects as needed
Exercise judgment on advanced or complex issues with limited supervision
Document and note each customer contact accurately and promptly in Cox Fleet systems
Provide excellent customer service to internal and external callers
Establish positive customer rapport and maintain professionalism
Obtain customer approval for repairs and services
Proactively contact customers to schedule preventive maintenance and drive repeat business
Partner with Field Operations to schedule appropriate technicians to accounts
Encourage customers to schedule repairs and maintenance in advance
Continuously develop and improve dispatching and service scheduling capabilities
Perform additional duties and special projects as assigned
- High School Diploma/GED and 7 years’ experience in a related field; alternatives include any level degree/certification beyond a high school diploma/GED in a related discipline and 5 years’ experience, or 9 years’ experience in a related field
- Excellent verbal and written communication skills
- Ability to effectively communicate at all levels of the organization
- Proven track record to collaborate cross-functionally, build positive relationships, and become a trusted partner
- Excellent organizational skills and ability to balance a variety of tasks
- Strong Excel and data entry skills
- Ability to learn new platforms, including Web Wrench, Mobile Frame, and RO Writer
- Common knowledge of the trucking industry
- Fleet maintenance or automotive/trucking transportation experience helpful
- Ability to work independently and collaboratively within a team environment
- Excellent problem-solving skills
- Highly organized with exceptional follow-through abilities
- Must clear a pre-employment drug test
- Must be currently authorized to work in the United States for any employer without current or future sponsorship
- No OPT, CPT, STEM/OPT, or visa sponsorship now or in the future
Demonstrates strong customer service skills and the ability to manage the maintenance transaction lifecycle effectively. Proficient in scheduling, communication, and collaboration within a team environment, with a solid understanding of fleet maintenance and the trucking industry.
