Position Description
The Document Control Specialist supports the Department of General Services’ Design and Construction Division by managing building-related documentation and serving as the steward of accurate, up-to-date digital files for Metro-owned and leased facilities. This role organizes Revit and CAD drawing files, incorporates changes and maintains official “record” floor plan sets over the life of each facility, and serves as the centralized custodian of project closeout documentation, including record drawings, specifications, O&M manuals, warranties, and other required deliverables.
The position also plays an ongoing role in drafting, updating, and standardizing design and construction details to support facilities operations, space planning, capital planning, and future project delivery.

Typical Duties- Serve as the official custodian of design and construction documents for all General Services–managed facilities.
- Organize, review, and archive project closeout documentation, including record drawings, specifications, O&M manuals, warranties, and commissioning documents.
- Coordinate with project managers, contractors, and consultants to verify completeness and compliance of closeout submittals prior to final acceptance.
- Coordinate with project managers to ensure record drawings and as-built changes are translated into maintainable AutoCAD files.
- Assist with field verification and reconciliation when discrepancies exist between record drawings and existing conditions.
- Establish and maintain consistent drawing standards (layering, naming, scale, annotation) for facility floor plans.
- Convert consultant-provided drawings into standardized Metro DGS CAD formats and layering standards.
- Establish and maintain standardized folder structures, naming conventions, and indexing for closeout documents to ensure long-term retrievability.
- Perform ongoing drafting updates based on renovations, tenant improvements, maintenance projects, and field-verified changes.
- Develop and maintain clean, simplified floor plan drawings suitable for facilities, operations, emergency planning, and space management use.
- Support space planning, moves, and operational needs by providing updated floor plan drawings on request.
- Assist with digitizing and archiving building records for centralized access and long‑term storage.
- Perform drafting to develop and update standardized details for inclusion in design and construction guidelines.
High School Diploma or equivalent supplemented by job related technical education as described in the position announcement and four (4) years of responsible experience in architectural drafting, document management, or construction project support utilizing AutoCAD.
- Additional education may be considered in lieu of some experience (1:1 ratio).
Valid Driver License
Residency RequirementPer Metro Ordinance No. SO94-1078, all employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.
Preferred Experience , Knowledge, Skills, And Abilities- Post high school degree in Drafting, Architecture, Construction Management, or a related field, or equivalent combination of education and experience.
- Proficiency in Revit and AutoCAD, including the ability to navigate and update model files.
- Demonstrated ability to read, interpret, and manage multidisciplinary construction drawings, including architectural, mechanical, electrical, plumbing, and site drawings, for vertical construction projects.
- Experience coordinating and maintaining architectural, MEP, and site drawing sets as part of construction closeout and facilities record documentation.
