Administrative Services Assistant

$23/hr on 1099
The Data Processing Specialist plays a critical role in supporting the Viral Hepatitis Program by accurately processing, reviewing, and maintaining hepatitis surveillance data within the National Electronic Disease Surveillance System (NEDSS) Base System (NBS). This position ensures the accuracy, completeness, and integrity of public health data by applying CDC and CSTE case definitions, identifying reportable conditions, performing data validation and quality assurance, and collaborating with surveillance and program staff.
The specialist contributes directly to disease monitoring, reporting, and public health response efforts.
Key Responsibilities
- Enter, process, and maintain hepatitis B (HBV) and hepatitis C (HCV) laboratory and case data within the NEDSS Base System (NBS).
- Review, monitor, and manage assigned surveillance records and document review queues.
- Apply CDC and CSTE case definitions to accurately classify and determine case status.
- Identify and categorize acute, chronic, reinfection, perinatal, infant, and fetal hepatitis cases.
- Perform routine data cleaning, validation, and quality assurance to ensure data accuracy and completeness.
- Process and reconcile paper-based, electronic, and orphaned laboratory reports.
- Investigate and resolve incomplete records, discrepancies, and data inconsistencies.
- Coordinate and track medical record requests as required to support surveillance activities.
- Communicate data concerns, trends, and findings to team leadership and relevant stakeholders.
- Participate in team meetings, training sessions, and program-related activities to support continuous improvement and program objectives.
Education and Experience:
High school diploma or equivalent required. Prior experience in data entry, data systems, healthcare, or public health environments is preferred.
Required Skills and Competencies:
- Strong attention to detail and ability to accurately handle confidential health information.
- Ability to follow established procedures, protocols, and data quality standards.
- Proficiency with computer systems, databases, and standard office applications.
- Strong organizational, analytical, and problem-solving skills.
- Ability to work independently and collaboratively in a team environment.
- Effective verbal and written communication skills.
- Work Arrangement: Hybrid
- Location: Tennessee Department of Health, Central Office Health Office, Nashville, TN
- Travel: Minimal; approximately 2-4 in-person meetings per year
This position is part of the Tennessee Department of Health's Communicable and Environmental Diseases and Emergency Preparedness (CEDEP) division. The Viral Hepatitis Program focuses on reducing hepatitis-related infections, complications, and mortality across Tennessee. The program supports public health initiatives through disease surveillance, early detection, prevention, treatment access, outbreak response, and collaboration with healthcare providers and community partners to address and reduce health disparities.
