The Coordinated Entry (CE) Data & Systems Specialist plays a vital role in supporting Nashville’s homelessness response system by ensuring the accuracy, integrity, and efficiency of all Coordinated Entry data and processes. This position maintains essential records, tracks referrals, monitors workflow performance, and supports community-wide coordination that directly impacts access to housing for individuals and families experiencing homelessness.
The incumbent is detail-oriented, organized, analytical, and committed to improving system performance through high-quality data and timely follow-through.
The Office of Homeless Services is dedicated to improving efforts to end homelessness by harnessing local data to shape program and system design using a “systems thinking” approach.
- Maintain and improve CE processes in alignment with HUD requirements and local policies.
- Support ongoing workflow development and special CE initiatives.
- Identify opportunities to enhance efficiency and data quality.
- Complete accurate and timely data entry in the Homeless Management Information System (HMIS).
- Support maintenance of the community By-Name List.
- Manage hub Nashville Interest List requests by verifying, documenting, and processing inquiries within required time frames.
- Track referrals and issue HMIS notifications to providers.
- Update participant records based on Care Coordination meetings.
- Respond to CE Help Desk requests and escalated technical issues when needed.
- Conduct regular data quality checks and resolve discrepancies.
- Support referral processing and documentation across the CE system.
- Assist with supportive service referrals for individuals actively seeking or maintaining housing.
- Conduct CE assessments as needed and connect individuals to appropriate housing and community resources.
- Complete all tasks accurately and within required deadlines.
- Represent CE in community meetings, trainings, and stakeholder work groups.
- Provide technical assistance to partner agencies on CE processes and workflows.
- Work with the CE Manager and CE Special Projects Coordinator to assist operations, system improvements, and special projects.
- Perform other related duties as assigned.
Bachelor’s degree in Social Work, Human Services, Public Administration, Information Systems or a related field.
* Additional experience in human services, homelessness response, data management, or related field may be considered in lieu of education (1:1 ratio).*

- Experience in Homeless Management Information Systems (HMIS)
- Proficiency in Microsoft Office, including Word and basic Excel
