Rustler Hat Co. is looking for a highly organized, detail-oriented Inventory & Planning Manager to own the movement, accuracy, and planning of inventory across our business.
This role will oversee inventory from the moment product arrives at our warehouse through its movement to our storefront, e-commerce operation, and offsite events. The Inventory & Planning Manager will ensure our physical inventory matches our systems, product gets where it needs to be on time, and our team has clear visibility into inventory levels.
Beyond day-to-day inventory management, this person will also play an important role in planning future inventory needs by monitoring sales, sell-through, stock levels, and product performance to help determine when and how much we should reorder.
This is a hands-on role for someone who loves organization, systems, problem-solving, and making sure nothing falls through the cracks.
Key Responsibilities Inventory Receiving & Management- Receive all incoming inventory at the Rustler Hat Co. warehouse.
- Verify incoming shipments against purchase orders and packing slips for accuracy.
- Accurately receive inventory into our inventory management systems.
- Organize and maintain warehouse inventory so product is easy to locate, count, and pull.
- Maintain accurate physical and digital inventory counts across all locations.
- Investigate and resolve inventory discrepancies.
- Conduct regular cycle counts and assist with full physical inventory counts.
- Establish and maintain clear inventory organization, labeling, and storage processes.
- Monitor inventory needs at our storefront and coordinate replenishment from the warehouse.
- Physically pull and prepare inventory being transferred to the store.
- Complete all corresponding inventory transfers within our systems so physical and digital inventory remain aligned.
- Work closely with the retail team to ensure high-performing products are appropriately stocked.
- Identify low-stock and out-of-stock products before they become an issue.
- Oversee the accurate and timely fulfillment of all online and wholesale orders from the warehouse.
- Pull, pack, and ship e-commerce orders according to established fulfillment timelines.
- Verify products, quantities, sizes, and other order details before shipments leave the warehouse.
- Troubleshoot fulfillment issues, including incorrect inventory, missing products, damaged merchandise, lost shipments, or shipping discrepancies.
- Help develop and maintain efficient packing and shipping processes as order volume grows.
- Coordinate inventory needs for Rustler Hat Co. offsite events.
- Pull, count, organize, and prepare merchandise for each event based on event requirements.
- Ensure event inventory is accurately transferred within our inventory system before leaving the warehouse.
- Prepare inventory for pickup by the team member responsible for the event.
- Receive and reconcile remaining inventory after events.
- Ensure returned merchandise is counted, properly transferred back into inventory, and returned to its appropriate warehouse or storefront location.
- Investigate and resolve discrepancies between inventory sent to events, inventory sold, and inventory returned.
- Monitor inventory levels, sales velocity, sell-through, and product performance.
- Identify products that need to be reordered and recommend appropriate reorder quantities.
- Help forecast future inventory needs based on historical sales, seasonality, upcoming events, and business growth.
- Flag slow-moving inventory and potential overstock situations.
- Partner with leadership and relevant teams on future product orders and inventory investments.
- Maintain visibility into incoming purchase orders and expected delivery dates.
- Help ensure Rustler Hat Co. has enough inventory to support retail, e-commerce, and event demand without unnecessarily overstocking product.
- Develop and maintain regular inventory reporting, including stock levels, sell-through, inventory discrepancies, and reorder needs.
- Identify weaknesses or inefficiencies in current inventory processes and implement better systems.
- Create clear processes for receiving, transferring, pulling, returning, and counting inventory.
- Maintain a high level of inventory accuracy across the business.
- Serve as the primary point person for inventory-related questions and issues.
- Extremely organized and detail-oriented.
- Comfortable working with both physical inventory and inventory management software.
- Strong analytical skills and confidence working with sales and inventory data.
- Able to identify patterns and use data to make thoughtful inventory recommendations.
- Proactive problem-solver who notices discrepancies and follows them through to resolution.
