Accounts Receivable Clerk
The Accounts Receivable Clerk is responsible for managing, tracking, and collecting revenues owed to the City of Natchez. This position ensures accurate billing, timely collection of payments, and proper recording of accounts for receivable transactions. The Clerk works closely with multiple city departments and the public to maintain efficient and transparent financial operations.
Essential Duties and Responsibilities- Prepare, issue, and process invoices for services, fees, taxes, permits, and other municipal revenues
- Receive, record, and post payments (cash, checks, credit cards, and electronic payments) in accordance with established procedures
- Reconcile accounts receivable ledger balances and investigate discrepancies
- Maintain accurate and up-to-date account records
- Assist with month‑end and year‑end closing procedures
- Ensure compliance with city policies, state regulations, and internal financial controls
- Coordinate with other city departments to ensure proper revenue collection practices
- Coordinate the rental of city owned properties, including preparing rental contracts, receiving payments, maintaining rental calendars, communicating with the special events committee, and coordinating cleaning services
- Prepare cemetery deeds
- Prepare minutes for meetings of the Mayor and Board of Aldermen
- Prepare the semimonthly small claims docket
- Assist with other requests as needed
- Knowledge of basic accounting principles and accounts receivable processes
- Proficiency in Microsoft Office (Excel and Word) and financial management software
- Strong attention to detail and accuracy
- Ability to handle multiple tasks and meet deadlines
- Excellent organizational and record‑keeping skills
- Strong customer service and communication skills
- Ability to maintain professionalism when dealing with the public
- Ability to work independently and as part of a team
- Work is primarily performed in an office environment
- Frequent interaction with the public and other city employees
- Ability to sit for extended periods
- Occasional lifting of light office materials (up to 25 pounds)
- Use of standard office equipment such as computers, phones, and copiers
- Occasional extended work hours
- High school diploma or GED required
- Associate’s degree in accounting, finance, or related field preferred
- One (1) to three (3) years of experience in accounts receivable, bookkeeping, or municipal finance preferred
- Equivalent combination of education and experience may be considered
