Walnut Hill School for the Arts seeks an energetic, organized, self‑motivated person to work in our Health Center in an administrative assistant capacity starting in August.
This is a full‑time, non‑exempt 10‑month position (August – June) reporting directly to the Director of Health Services. This position is full‑time, Monday – Friday, when school is in session, with some flexibility with the start and end time of daily shifts. School breaks and summer months are unpaid unless accrued vacation time is available.
Responsibilities- Greet students and visitors and provide excellent customer service to all constituents;
- Schedule and coordinate student medical appointments;
- Work collaboratively with transportation/facilities staff;
- Organize annual tasks, including but not limited to: physicals, immunizations, summer program registration, school registration, and other tasks throughout the year;
- Work collaboratively with the business office with billing students for services and medications;
- Answer phone calls and respond to emails from students, families, providers, and employees;
- Assist the Director of Health Services with data collection and review;
- Provide general administrative and clerical support including mailing, data entry, filing, scanning, faxing, and copying;
- Maintain electronic filing system;
- Receive, open, sort, and distribute incoming correspondence;
- Perform data entry and scan documents;
- Manage health center calendar;
- Assist in administrative problem solving;
- Maintain and order supplies for the department;
- Support the transportation department and occasionally drive students to appointments;
- Input daily Health Center attendance and track areas of concern with the Health Center;
- Work collaboratively with the team and colleagues in all departments;
- Other duties as assigned by the Director of Health Services or the Dean of Students.
- 1+ years of administrative or related experience preferred;
- Strong customer service and interpersonal skills;
- Ability to communicate well with a wide range of people including adolescents, families, providers, and colleagues;
- Excellent organizational skills and strong attention to detail;
- Ability to work independently and effectively in a fast‑paced, multifaceted facility;
- Excellent computer skills and ability to work with Microsoft Office (Word, Excel, etc.), Google suite, and various student and school databases;
- Ability to react to situations in a calm, confident manner and elevate if needed;
- Commitment to working in and fostering an inclusive community; be committed to learning about and contributing to Walnut Hill’s culture of belonging;
- Ability to handle highly sensitive information with discretion and maintain confidentiality;
- Knowledge of insurance and school health a plus;
- Driver’s license required.
