Walnut Hill School for the Arts is seeking a Student Life Associate to join the Student Life team in August, 2026. This position is a key member of the Student Life team providing support to the team with the management and coordination of a wide range of student activities including:
Activities, Traditions, Residential Life, International Programs, Student Support, and Transportation.

Reporting directly to the Dean of Students and working closely with the rest of the team, the Student Life Associate provides administrative and operational support to the Dean of Students and the Student Life Office. This position oversees the attendance system, assists with transportation coordination, and serves as the Yearbook Advisor and Day Student Advisor. The Associate works closely with all members of the Walnut Hill community including students, faculty, staff, and transportation vendors.

This is a full‑time position, Monday - Friday, 8:30 AM - 4:30 PM, with a ½ hour unpaid lunch break, with some flexibility in the schedule.

The ideal candidate has exceptional customer‑service and communication skills and is highly organized with the ability to learn and adapt to new technologies. All Walnut Hill faculty/staff are active, engaged members of the school community who are committed to collaborating and growing in their field.

Responsibilities Include:

Attendance System
  • Manage all aspects of the student attendance system;
  • Oversee the “attendance/absence” email by responding in a timely manner and accurately documenting absences;
  • Handle daily attendance communication with students and families;
  • Maintain accurate records to facilitate the various levels of meetings and communications related to student attendance;
  • Follow‑up with students and faculty as needed to clarify attendance issues;
  • Support the Dean of Students and the Assistant Head of School in communications regarding attendance;
  • Work closely with the Registrar, Music Department Assistant, Dance Department Assistant, Health Center, and College Counseling offices around attendance/absence management; and
  • Other attendance duties as assigned.
Yearbook, Day Student Leaders, & Student Workers
  • Responsible for on‑time completion of the annual Yearbook; meet weekly, or as needed, with the student leadership to help them organize, design, and complete the yearbook; coordinate Yearbook distribution each year;
  • Serve as the Day Student Advisor; meet on a regular basis with day student leaders to facilitate their program ideas and address concerns they raise; and
  • Coordinate with the Business Office and HR on annual Student Worker hiring and work permit process.
Transportation
  • In collaboration with other members of the Student Life team, learn and understand the management and implementation of the transportation system; provide transportation coordination coverage as needed when other staff are absent; provide assistance and customer service to students, faculty, and staff regarding rider concerns;
  • Drive/chaperone students as needed and assigned by Student Life Staff.
Administrative Support
  • Provide forward facing student support for the Student Life Office;
  • Provide general administrative and clerical support; answer phone, email, and in‑person questions and provide direct support to students and staff;
  • Regularly check and update online system for students checking in/out of campus;
  • Schedule and coordinate student appointments with Student Life Team members;
  • Help coordinate student clubs events and activities;
  • Order and maintain department supplies;
  • Work collaboratively with the team and colleagues in all departments; and
  • Other duties as assigned.
Collaboration, Professional Development, and Training
  • Work collaboratively with colleagues across all departments to foster a positive working and educational environment for students and employees to support the school’s mission, vision, and core values;
  • Participate in communal programming, all‑school events, art events, and support student performances, art openings, exhibitions, and other campus‑wide activities if appropriate and instructed by supervisor;
