Job Description:
Secretary
Summary:
Provides administrative support to principal and staff members. Duties include general clerical, receptionist and project based work.
- Fosters a caring office environment where students, parents and teachers feel welcome
- Greets and directs office visitors using a visitor log which includes preapproved visitors to the building
- Answers telephone and responds to direct requests for information and/or forwards messages to appropriate staff
- Calls Human Resource each morning to find out staff absences. Alerts the principal if there are coverage concerns.
- Performs and organizes a wide variety of clerical duties for the principal, teachers and support staff
- Assists the principal in gathering data for the completion of reports for the State of Connecticut
- Communicates with the public, using discretion and judgment.
- Maintains cooperative working relationships with students, staff, parents and community members
- Tracks and files financial data and budget information for the principal
- Registers new students and maintains student database for the school (e.g. Power School)
- Collects, verifies and maintains records for free/reduced lunch and completes reports as needed
- Maintains payroll and attendance records for building personnel
- Operates and troubleshoots office technology and computer equipment and request help as needed
- Purchases, with principal approval, and maintains inventory of necessary supplies for building operations including but not limited to classroom supplies. Researches best prices
- Communicates with all levels of personnel within the district and the district and maintains a professional attitude.
- Understands and applies district and school policies, procedures and rules.
- Orients and directs substitute teachers and other support personnel in the school
- Performs any and all tasks which are needed and/or requested by the principal to accomplish the functions of the school
- Works efficiently with a service-oriented attitude under stressful conditions with constant interruptions
- Modifies and adapts office procedures in response to the needs of the principal and staff
- Handles stressful situations in a calm, professional manner
- Maintains confidentiality of student, family and personnel matters at all times
- Effectively manages time and multiple responsibilities
- Sorts mail
- Maintains school checking account
- Collects all monies and paperwork submitted to the office and organizes
- Calls parents of students who miss the bus or are not picked up at the end of the day
- Collects dismissal notices from teachers
- Provides a quiet, supervised space for students sent to the office for inappropriate behavior
