The Administrative Assistant in Corporate Administration plays a crucial role in supporting the executive leadership team at Penn Highlands Healthcare. This individual will provide high-level administrative support to the Chief Operating Officer (COO), Chief Medical Officer (CMO), and Chief Business Development Officer (CBDO) within the Corporate Executive Office. The role requires an organized, proactive, and efficient professional capable of handling a diverse array of complex administrative functions and tasks in a fast-paced, high-stakes environment.
Key responsibilities include managing schedules, coordinating meetings, handling confidential correspondence, preparing reports, and supporting ongoing projects across various departments. This position requires exceptional communication skills, attention to detail, and the ability to prioritize and manage multiple tasks effectively.
Executive Support- Provide direct administrative support to the COO, CMO, and CBDO, ensuring smooth and efficient daily operations.
- Manage and coordinate complex calendars, including scheduling and confirming meetings, conference calls, and appointments.
- Draft, proofread, and finalize correspondence, reports, and presentations on behalf of executives, ensuring high standards of quality and professionalism.
- Assist with the preparation of executive meetings, including organizing agendas, taking meeting minutes, and tracking follow-up actions.
- Support executives with special projects and initiatives by coordinating tasks, monitoring timelines, and ensuring deliverables are met.
- Act as a liaison between executive leadership and other internal and external stakeholders to facilitate project progress.
- Prepare and maintain detailed project documentation and reporting to assist leadership in decision-making processes.
- Serve as the primary point of contact for all executive-level inquiries and correspondence.
- Organize travel arrangements for the executives, including flight bookings, hotel accommodations, and transportation, while adhering to budget guidelines.
- Foster positive working relationships with key internal departments, external partners, and stakeholders, ensuring clear communication across all levels.
- Handle sensitive and confidential information with the utmost discretion and professionalism.
- Maintain a high level of integrity in all administrative tasks, adhering to organizational policies and guidelines.
- Assist in managing the day-to-day operations of the Corporate Executive Office by ordering supplies, maintaining office equipment, and ensuring the work environment remains conducive to high productivity.
- Develop and implement efficient office systems to enhance workflow and communication.
- Education:
Associate's degree or equivalent work experience required;
Bachelor's degree preferred. - Experience:
Minimum of 3-5 years of administrative support experience, preferably within a healthcare or corporate executive environment. - Skills:
- Excellent written and verbal communication skills, with a keen eye for detail.
- Strong organizational and time-management skills, with the ability to manage multiple tasks and prioritize effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Experience with calendar management and event coordination.
- Ability to work independently and as part of a team, demonstrating flexibility and adaptability in a dynamic work environment.
