This is an advanced classification that performs specialized clerical work of an administrative nature of varied scope and complexity requiring a broad knowledge of standardized policies and procedures, and confidentiality in the disposition of work matters. Work requires significant independent judgment, problem solving, and decision making skills within prescribed limitations. It interprets guidelines to specific situations that are not covered by policies or procedures.
Work includes the maintenance of various record systems, the creation of reports involving payroll, employee, student, departmental records, and statistical data. Work also includes composing routine memoranda, correspondence and written materials requiring knowledge of institutional policies and procedures, scheduling meetings, and making travel arrangements. Limited leadership may be exercised over small teams of co‑workers or student employees. Occasional supervision and oversight is provided to employees in this classification.
of Work Performed
- Personally assist prospective students, parents, high school counselors, scheduled and unscheduled visitors via phone, email, and through written correspondence.
- Educate prospective and current students regarding use of their MyCSC account for 24/7 self‑service.
- Matriculate and term activate applicants into the appropriate career/program/plan (CPP).
- Assist with administrative aspects for new Eagle registration events and new student move‑in.
- Sole responsible part for all official transcripts that are sent to Chadron State College. This process includes:
- Maintaining login credentials for different electronic email portals and monitoring email accounts including the transcript email account.
- Downloading, scanning, and processing transcripts to Image Now.
- Researching and linking to the appropriate student account in People Soft.
- Monitoring and reviewing transcripts that have been entered into Image Now that did not have an application attached.
- Processing all incoming high school transcripts to verify eligibility to pursue a degree‑seeking program at Chadron State College.
- Processing all incoming college transcripts to verify the status of work completed.
- Assisting the Director of Admissions in the coordination of the incoming student scholarship process.
- Answering Admissions phones, Call Center phones, and processing all incoming and outgoing mail.
- Assisting with planning, assigning, and training for the work of student employees in the Call Center.
- Working with student employees to process and mail all incoming student acceptance letters.
- Processing all Admissions accounts payable buff forms.
- Balancing the monthly Admissions and Publication budget and working with administrators on budget‑related issues.
- Sending pennants and other imprinted, promotional items to schools and other organizations requesting these items.
- Maintaining log‑in credentials and being comfortable utilizing the online National Student Clearinghouse for the following:
- Completing the established investigatory process (in conjunction with other student service offices) for all admissions’ applicants suspected of attempted misuse of Federal Financial Aid.
- Verifying the educational history of all incoming freshman applicants.
- Assisting with social media creation, content, reporting, and inquiries for the Admission Department.
- Serving as a committee member for Scholastic Day.
- Secondary Duties:

- College coursework in Business Administration or related field and/or two years of clerical experience.
