Job Description

Job Title: Manager, Student Records

Evaluation Type: Paraprofessional

Department: Assigned Campus

Supervisor: Principal

Basic Function & Responsibility: Create, maintain and process student enrollment, transfer, and withdrawal records; assist with development of campus master schedule; collect and process student grades and corrections.

Responsibilities
  • Serve as PEIMS coordinator; maintain physical and computerized records including student cumulative folders, progress and failure reports, class rosters, schedule changes, and grade books.
  • Foster positive working relationships with guidance counselors, teachers, the computer coordinator, and district office staff to provide necessary scheduling, grading, and registration information.
  • Maintain up-to-date enrollments, withdraw students from computer systems, and manage new student record requests, including interpretation of grades/credits.
  • Coordinate receipt, sending, and archiving of transcripts, record requests, and report cards with guidance counselors and other departments.
  • Issue certified transcripts to colleges, agencies, employers, and at staff request, ensuring signature stamp and school seal.
  • Coordinate grading process every six weeks; distribute report cards, prepare grade corrections, and assist with grade changes before report cards are printed.
  • Post summer school correspondence and other credits earned by active and post‑graduate students; prepare documentation for computer entry.
  • Maintain permanent records of all students who have ever attended; copy records for state/federal agencies, colleges, employers, or other requesters.
  • Certify senior graduates alongside the senior counselor after the fall semester, determining walk‑through, graduation, and deficiencies.
  • Prepare monthly enrollment reports for the principal and central office; prepare PEIMS reports every six weeks.
  • Update PEIMS information on dropouts, post‑graduation information, and other requested reports.
  • Answer questions from the general public, parents, and staff regarding school policy, state requirements, and other information.
  • Provide internship, student, parent, and community support as required.
  • Participate in professional development, team building, and school‑community relations activities.
  • Follow district policies, respond to federal law requirements, and meet reporting deadlines.
Qualifications
  • High school diploma or equivalent.
  • Knowledge of Texas Education Agency rules, regulations, and procedures.
  • Knowledge of University Interscholastic League rules, regulations, and procedures.
  • Knowledge of master scheduling techniques.
  • Knowledge of Public Education Information Management Systems (PEIMS) rules, regulations, and procedures.
  • Skill in operating standard computing and software applications, including electronic mail, word processing, spreadsheets, databases, and presentations.
  • Skill in communicating effectively, in writing and verbally.
  • Skill in preparing and maintaining accurate records and reports.
  • Ability to work collaboratively with staff, parents, and district employees.
  • Ability to prioritize and organize work responsibilities.
  • Ability to maintain accurate and auditable records.
  • Three (3) years of related experience.
Physical and Mental Demands
  • Standard office equipment; prolonged sitting; occasional bending, pushing/pulling, twisting.
  • Repetitive hand motions; frequent keyboarding and mouse use; occasional reaching.
  • Occasional light lifting up to 15 pounds.
  • May work prolonged or irregular hours.
  • Requires maintaining emotional control under stress.
