Office Manager & Executive Assistant |Omaha
AOI is looking for a polished, proactive professional to become the next Office Manager & Executive Assistant. If you anticipate needs before anyone says a word, stay composed when priorities shift by the minute, and take pride in details others overlook, this is where you'll thrive.
This is a high-visibility role built for a true professional, someone who earns trust fast, handles sensitive matters with absolute discretion, and elevates everything they touch. This role doesn't just manage the front desk; it elevates it.
What You'll Do
• Serve as the face of AOI and the first point of contact for visitors, clients, vendors, and partners.
• Provide Executive Support to the CEO through calendar management, meeting coordination, travel planning, communications, and project support.
• Oversee reception operations and maintain a polished office environment.
• Coordinate hospitality services, refreshments, and meeting space readiness.
• Ensure shared spaces remain organized, functional, and inviting.
• Assist with internal events, employee celebrations, and company communications.
• Oversee office operations, supplies, vendors, mail, shipping, and workplace readiness.
What We're Looking For
• 3-5 years of Executive Assistant, Office Manager, or similar experience.
• Exceptional organizational and communication skills.
• Professional executive presence and discretion.
• Strong project management and multitasking abilities.
• Experience coordinating events and workplace operations.
• Proficiency in Microsoft Office Suite and scheduling platforms.
