The Lead Unit Clerk is responsible for providing leadership, direction, and support to Ward Clerk staff while coordinating the daily clerical operations of the inpatient nursing department. The Lead Unit Clerk works collaboratively with nursing leadership and staff to ensure efficient workflow, effective communication, excellent customer service, and timely completion of clerical responsibilities.
The Lead Unit Clerk serves as a resource for Ward Clerk staff and assists with daily staffing, scheduling, orientation, training, competency validation, performance feedback, and workflow improvement. This position maintains competency in all Ward Clerk responsibilities and provides direct coverage as needed to support the operational needs of the department.

- Provides day-to-day leadership, direction, and support to Ward Clerk staff.
- Serves as a resource for Ward Clerks regarding departmental policies, procedures,
workflow, and job responsibilities. - Leads by example and promotes professionalism, accountability, respect, teamwork,
and excellent customer service. - Assists with staff scheduling and coordinates coverage for absences, vacancies, and
changing departmental needs. - Monitors daily staffing and workflow needs and communicates concerns to the Director
of Inpatient Nursing or designee. - Assists with orientation and onboarding of new Ward Clerk staff.
- Provides training, mentoring, and ongoing support to Ward Clerk employees.
- Assists with competency validation and identifies opportunities for additional education
and training. - Provides timely feedback to employees regarding performance, strengths, and
opportunities for improvement. - Assists with employee performance evaluations and development goals as directed by
the Director of Inpatient Nursing. - Addresses day-to-day employee and workflow concerns and escalates significant
concerns to the appropriate supervisor. - Promotes staff engagement, teamwork, and a positive work environment.
- Encourages professional growth and supports employees in achieving individual and
departmental goals. - Answers telephones using proper phone etiquette and relays thorough and accurate
messages. - Makes calls as necessary and maintains a helpful, courteous, and professional
demeanor. - Answers the EMS phone and relays information to nursing staff and ambulance
personnel regarding ambulance calls or incoming ambulances. - Receives and directs patients, families, and visitors in a courteous and professional
manner. - Assists visitors and customers in finding their destination.
- Receives ambulatory patients and informs the appropriate nurse of patient arrival or
admission. - Assembles patient charts and ensures paperwork is organized and maintained
appropriately. - Maintains paper documentation in patient charts as needed.
- Prepares and maintains necessary documentation for admissions, transfers, discharges,
and changes in level of care. - Ensures appropriate paperwork is completed and signed as required.
- Obtains records from Medical Records as necessary.
- Receives outpatients and completes appropriate forms.
- Maintains the patient list and ensures information is current and accurate.
- Adds applicable paper reports and documentation to patient charts.
- Schedules appointments for special procedures and clinics as necessary.
- Reports patient discharges to the kitchen as appropriate.
- Delivers mail and flowers to patients.
- Inventories and requisitions floor stock supplies.
- Checks assigned treatment rooms and designated patient care areas as required.
- Reports needed repairs and completes maintenance work requests.
- Locks doors and sets alarms at appropriate times.
- Maintains close communication with nurses on duty.
- Performs other Ward Clerk duties as needed to support safe and efficient department
operations.
- Education:
- High School Diploma or equivalent required.
- Experience:
