Overview

The Administrative Assistant 1 at Lovelock Correctional Center works with the Associate Warden of Operations and the grievance process. Responsibilities include preparing, typing, duplicating, and distributing correspondence, reports and other materials. The position arranges records and materials for storage, disposal or preservation, maintains non‑complex databases and spreadsheets, and keeps records such as addresses, phone numbers, staff schedules and production logs. Additionally, the assistant enters and reviews data for accuracy, refers incomplete or incorrect documents to higher‑level staff for resolution, and provides general office support including answering telephones, responding to routine inquiries, sending requested materials, and sorting and distributing incoming mail.

Working hours are Monday‑Friday 8:00 am‑4:30 pm with weekends off and paid holidays.

Additional Responsibilities
  • Provide program support duties: assist program clientele in person and on the telephone; explain application procedures and eligibility requirements; review basic forms and applications; send determination notices; contact clientele regarding inconsistent or incomplete information; receive and account for fees and money received.
  • Perform secretarial duties in support of an assigned supervisor or work unit; schedule appointments; arrange internal agency meetings and travel; open, screen and route mail; answer telephones and relay factual information.
  • Retrieve and compile financial, statistical, and narrative information for recurring reports; summarize data for ad hoc reports; search the Internet for factual information.
  • Assist in preparing and processing documents related to payroll, personnel, budget, accounts and other agency programs; complete required forms or record actions online according to regulations; compile and sort documents; match and verify identifying information; check arithmetic calculations.
  • Receive payments, prepare receipts, match payments to receivable documents; post payments; prepare vouchers payable; assign accounting codes; review and compare internal accounting records to budget status reports; respond to inquiries from clients or vendors.
  • Type, format, produce and duplicate reports, correspondence and other documents using word processing, spreadsheet and business software; perform production typing; format documents received via disk, e‑mail or other means; check and correct spelling, punctuation, and grammar.
  • Order, receive, and store office supplies, forms, equipment; process purchase orders, requisitions or other documentation.
  • Maintain unit or program records and files per policies and retention schedules; locate and supply information requested by the public; purge duplicate or outdated materials.
  • Perform data entry assignments; resolve coding problems; review and edit reports; back up data; transfer files to host system; schedule system maintenance.
  • Prepare mailings to agencies and clientele per distribution lists and postal regulations; package and send items via express carriers.
Qualifications
  • High school graduation or equivalent education and at least one year of clerical experience maintaining records, answering telephones, reviewing forms or similar tasks.
  • OR six months of experience as an Administrative Aid in Nevada State service; OR an equivalent combination of education and experience.
  • Per Executive Order 2026‑002, all minimum qualifications have been waived until December 31 2026.
Skills and Knowledge
  • Working knowledge of
    : standard office procedures, word processing software, data entry techniques, recordkeeping techniques, telephone etiquette.
  • General knowledge of
    : business English, business software (spreadsheets, databases), basic customer service skills, basic financial and statistical recordkeeping methods, clerical accounting procedures.
  • Ability to
    : provide administrative support; explain rules and policies; read and understand manuals; review applications for completeness; maintain records; process payroll documents; enter data and resolve discrepancies; type, format and produce correspondence; compose routine business correspondence.
  • Skill in
    : operation and use of office equipment; typing at a specified rate.
