Job Description Under general supervision, provides a variety of routine to somewhat complex clerical support, financial, and administrative duties which may include receptionist, word processing, data entry, record keeping, filing duties, converts source documents (both paper and electronic) into electronic indexed records; files, accesses, retrieves, transfers, prepares, images and disposes of organization records, monitors inmates via video and line of site, communicating with inmates via intercom and limited in person contact, and performs errands of an official nature for staff in support of the Detention Division.
This position is distinguished from other Administrative Support class series by not only providing a variety of standard administrative and clerical support for the Detention Facility's administrative function but has limited direct and indirect contact and interaction with incarcerated individuals as well as the performance of the most complex and/or specialized office support responsibilities related to a Detention Facility. Additionally, this level is distinguished by the responsibility for project-related work.
This position has greater independence with day-to-day duties and assignments which require greater depth of knowledge regarding the organization. At this level, guidelines are available, but judgment is required to apply them effectively to the specific situation. This position is intended as a transitional position for those that want to become a sworn law enforcement officer upon meeting minimum criteria.

Essential functions include:
Assists the supervisor in securing and compiling data used in the submission of budget requests, status reports, accomplishment summaries, and related documents.Acts as receptionist for the Detention Facility, answering phones and directing callers to the appropriate office or individual; receives and initiates communication and sharing information with the Courts, District Attorney's Office, law enforcement personnel, and others. This includes verbal, written, email, and faxed based communication.Computer-based logging of all Detention Facility activity to include deputies and detainees.Complete accurate and detailed reports of events and incidents that occur.Receives incoming mail; sorts, inspects and routes mail to the appropriate individual.Creates and maintains a variety of files and records both paper and electronic.Monitors inmates and jail activity through direct and indirect methods.Verbally communicate with detainees through an intercom system. and to a limited extent, in person to address issues, questions, or problems.Verbally solicit required and necessary information from arrestees during the intake or booking process, and as required during the detainee's incarceration.Receives monies and records money transactions.Provides support to Courts, District Attorney's Office, law enforcement personnel, members of the general public, and other staff of the organization in person and/or by phone by answering inquiries related to the Detention Facility's operations, services, programs, and records; possesses familiarity with and explains to the public, detainees, and other, the Detention Facility's rules, policies, and procedures and explains the appropriate use and completion of forms and documents.Establishes, maintains, and revises filing and archiving systems; purges files as necessary; instructs others in establishing related files.Searches files and records for information needed by other staff; sorts, categorizes, and files documents and records.Makes copies of documents and reports; sends and delivers faxes; compiles figures for reports, budget submissions, and revenue/expense projections.Maintains document storage databases using imaging software applications and equipment.Scans current and archived documents; performs image manipulation as required by the limits of the imaging system.Processes, maintains, and provides for evidence and detainee property inventory, tracking, and accountability.Conducts organizational and classification studies and audits and prepares reports, recommendations, and class descriptions.Performs other duties as required by the Sheriff.Typical Qualifications
Qualifications include:
- Contemporary office practices and procedures including business correspondence,
- Relevant federal, state and local laws, codes and regulations governing the utilization, retention, preservation and disposition of records,
- Computer office operations, specifically word processing, spreadsheets Jail Management Systems, and/or database operations,
- Operation of basic office equipment such as fax machines, copiers, and scanners,
- Correct English usage including spelling, grammar, and punctuation,
- Measures needed to deal effectively with coworkers and those on various levels of the organization's governing body and management structure,
