Position SummaryAs the Office Administrator, you'll serve as the hub of our warehouse operation. You'll be the first person customers, drivers, vendors, and visitors interact with while ensuring office operations, shipping documentation, and warehouse administration run efficiently behind the scenes. This is a highly visible role that requires excellent communication, strong attention to detail, and the ability to manage multiple priorities in a busy logistics environment.
WhatYou'll Do
- Serve as the first point of contact for drivers, customers, vendors, and visitors while providing exceptional customer service in person, by phone, and by email
- Manage driver check‑in/check‑out, prepare shipping documentation (BOLs, packing lists, delivery receipts), and coordinate inbound and outbound appointments
- Accurately enter orders, receipts, shipments, and inventory information into the Warehouse Management System (Fishbowl)
- Partner with warehouse staff, customers, and carriers to communicate shipment updates, resolve issues, and ensure smooth day‑to‑day operations
- Maintain an organized office by managing reports, supplies, filing, mail, and general administrative functions
- 5+ years of office administration or administrative support experience; logistics, transportation, warehousing, or manufacturing experience preferred
- Strong computer skills with Microsoft Office; experience with a Warehouse Management System (WMS), Transportation Management System (TMS), or ERP system is a plus
- Excellent organizational skills with exceptional attention to detail and the ability to manage multiple priorities in a fast‑paced environment
- Outstanding communication and customer service skills with a professional, positive, and team‑oriented attitude
- High school diploma or equivalent required; associate’s or bachelor's degree preferred
- Experience with Fishbowl or another Warehouse Management System
- Familiarity with logistics terminology such as BOLs, PODs, LTL, FTL, cross‑docking, and cycle counts
- Bilingual (English/Spanish) is a plus
