Academic Department Coordinator – Amherst College
Amherst College invites applications for the Academic Department Coordinator, a 30‑hour‑per‑week position during the academic year (42 weeks). Salary range: $27–$34.00 per hour. The role provides comprehensive administrative support for three programs:
Latinx and Latin American Studies (LLAS), Asian American and Pacific Islander Studies (AAPI), and Biochemistry/Biophysics (BCBP). Office location is on campus; the position requires presence four days per week during class sessions.
- Faculty support:
Attend program meetings, prepare materials for the chair, and assist with clerical, ordering, and scheduling tasks. - Curricular support:
Update course information in the Course Catalog, CPI, and Workday; assist with course logistics and majors’ records; communicate with the registrar’s office; coordinate major prizes and fellowships. - Event management:
Coordinate honoraria, travel reimbursements, ground transportation, and accommodations for guest speakers; schedule venues, receptions, and publicity for all events. - Budget support, financial transactions, and student employment:
Administer and track expenses; reconcile monthly reports; monitor balances in Workday; process purchase orders, invoices, and reimbursements; create budgets with the chair and academic finance director; coordinate and maintain student employment. - Communications and office management:
Maintain the program website and electronic files; schedule and stock supplies; serve as the liaison among students, faculty, staff, and the broader campus community.
- Required:
High School Diploma or equivalent; 1–3 years of related experience; strong written and verbal communication, interpersonal, time‑management, organizational, and customer‑service skills; initiative, independent and collaborative work ability; high attention to detail; confidentiality sensitivity; familiarity with Google Workspace and/or Microsoft Office; experience working with a diverse community; successful completion of reference, background, and CORI checks. - Preferred:
Associate’s degree; three or more years of related experience at a higher education institution;
Workday or other ERP software experience.
