The Front Desk & Administrative Assistant provides professional front desk support and assists with daily administrative, purchasing, inventory, shipping, and employee-related tasks. This position requires strong organization, attention to detail, communication skills, and the ability to work effectively with employees, supervisors, vendors, and other departments.
The ideal candidate is dependable, professional, organized, and able to manage multiple priorities in a fast-paced environment.
Bilingual English/Spanish communication skills are required.
Essential Responsibilities Front Desk & Administrative Support- Serve as the first point of contact for employees, visitors, vendors, and phone inquiries.
- Answer and direct incoming phone calls and messages.
- Greet and assist visitors professionally.
- Maintain organized files, records, and administrative documentation.
- Provide general administrative support to management and other departments.
- Assist with company communications and other administrative tasks as needed.
- Process and track company orders and supply requests.
- Assist with purchase order (PO) processing and documentation.
- Verify orders, quantities, pricing, and supporting documentation.
- Communicate with vendors regarding orders, deliveries, and discrepancies.
- Maintain accurate records of purchase orders and related transactions.
- Follow up on outstanding orders and ensure items are received as expected.
- Prepare and process Fed Ex and other shipments.
- Coordinate incoming and outgoing packages.
- Track shipments and maintain shipping records.
- Ensure packages are properly labeled, documented, and routed.
- Communicate with departments regarding incoming and outgoing deliveries.
- Assist with maintaining accurate inventory records.
- Monitor office, production, and operational supplies assigned.
- Conduct inventory counts and identify shortages or discrepancies.
- Submit requests for replenishment when inventory levels are low.
- Maintain organized storage areas and inventory documentation.
- Review employee timecards for accuracy and completeness.
- Identify missing punches, discrepancies, or other timekeeping issues.
- Follow up with supervisors and employees to obtain corrections when needed.
- Assist with preparing timekeeping information for payroll processing.
- Maintain confidentiality when handling employee and payroll information.
- Assist departments with administrative needs as requested.
- Maintain a professional and organized front office environment.
- Help coordinate meetings, schedules, documents, and other office activities.
- Support management with special projects and assignments.
- Perform other duties and responsibilities as assigned.
Qualifications
- Bilingual in English and Spanish – required.
- Previous experience in an administrative, front desk, office, purchasing, or well, events?
- Primarily an office/front desk position within a manufacturing/production environment.
- May require occasional movement throughout the facility.
- Must follow all applicable company safety and PPE requirements when entering production areas.
- Ability to sit, stand, walk, use a computer, answer phones, and handle routine office/shipping materials.
