Office Assistant

Bobby Cahoon Marine Construction is looking for a dependable, organized, and detail oriented Office Assistant to join our team.

This position plays an important role in keeping our office organized and helping projects move smoothly from the first customer call through scheduling and completion. We are looking for someone who is comfortable communicating with customers, managing multiple tasks, keeping accurate records, and learning the systems we use to manage our day to day operations.

Office Assistant

Bobby Cahoon Marine Construction is looking for a dependable, organized, and detail oriented Office Assistant to join our team.

This position plays an important role in keeping our office organized and helping projects move smoothly from the first customer call through scheduling and completion. We are looking for someone who is comfortable communicating with customers, managing multiple tasks, keeping accurate records, and learning the systems we use to manage our day to day operations.

Responsibilities
  • Answer incoming phone calls, check voicemails, return calls, and assist with customer questions
  • Monitor emails and manage customer correspondence
  • Gather information from new customers and schedule estimate appointments
  • Enter new customers and projects into our project management system
  • Keep project information, notes, statuses, contracts, and customer records accurate and up to date
  • Follow up with customers after estimates and contracts are sent
  • Assist with contracts, paperwork, filing, and general office organization
  • Help track permits, riparian letters, approvals, and other project requirements
  • Coordinate with estimators, office staff, and field crews to keep project information organized
  • Maintain jobs and crew assignments in Clock Shark
  • Review employee time entries and assist with preparing payroll information
  • Assist with scheduling, invoicing, payments, and other administrative tasks as needed
  • Help with project closeout, including customer thank you letters and review requests
What We’re Looking For
  • Strong organizational skills and attention to detail
  • Friendly and professional communication skills
  • Comfortable speaking with customers by phone and email
  • Ability to manage multiple projects and priorities at once
  • Dependable and able to follow through on tasks
  • Comfortable using computers and learning new programs and systems
  • Familiarity with Microsoft 365, including Outlook, SharePoint, Microsoft Lists, Word, and Excel, is a plus but not required
  • Previous administrative, office, customer service, construction, or project coordination experience is a plus

We are looking for someone who takes initiative, communicates well, and enjoys keeping things organized. Construction experience is not required, but the right person should be willing to learn how our projects move from the initial estimate through permitting, scheduling, construction, and completion.
