Job Summary: The Bereavement Program Assistant provides administrative and organization support to the Bereavement Department, helping ensure compassionate, timely, and confidential services for individuals and families experiencing grief.

Status: Non-Exempt | Full-Time | 30 Hours/Week | Benefits Eligible

Qualifications
  • High School diploma required; college coursework a plus
  • Minimum two years of administrative or office support experience
  • Proficiency with Microsoft Office 365 and Canva
  • Strong organization, communication, and customer service skills
  • Ability to manage multiple priorities with flexibility and attention to detail
  • Comfortable working independently and as part of a collaborative team
  • Valid Texas driver's license, reliable transportation, and auto insurance
  • Bilingual preferred but not required
Key Responsibilities
  • Provide administrative, clerical, and organization support to the Bereavement Department
  • Maintain accurate bereavement census and client records in EMR/EHR systems in compliance with HIPAA
  • Manage calendars, appointments, room scheduling, and department logistics
  • Answer and route phone calls; greet clients and visitors with professionalism and care
  • Prepare and distribute intake packets, mailings, and program materials
  • Design flyers, packets, schedules, and event materials using Canva and Microsoft Office
  • Assist with coordination and setup of meetings, groups, memorials, camps, and community events (some events/weekends with flex time)
  • Support onboarding of new staff, interns, and volunteers as needed

Working Conditions: Primarily office-based with occasional support at offsite events. Requires light physical activity including standing, walking, and moderate lifting.

Travel: Some local day travel required. Overnight travel may be required at times.
