Job Description Primary Purpose

To act as the accounting specialist for the Construction and Planning department, providing clerical services, managing office activities and records retention.

Education / Certification
  • Accounting Degree or Equivalent Experience Preferred
  • College Diploma Preferred
Special Knowledge / Skills
  • Proficient skills in typing, word processing, and file maintenance.
  • Ability to keep confidential information.
  • Effective communication and interpersonal skills.
  • Ability to make independent decisions.
  • Ability to deal with the general public.
  • Good organizational skills.
  • Ability to use personal computer and software to develop spreadsheets, databases, word processing, PowerPoint (including Microsoft Office, Adobe Pro, Microsoft Publisher, and District Accounting Software).
  • Ability to quickly learn new programs.
  • General understanding of school bond programs.
Experience / Other Requirements
  • Three years of clerical/office experience, preferably in a public education environment.
  • Accounting or bookkeeping experience is required.
  • Experience in a public education environment is preferred.
Major Responsibilities and Duties
  • Responsible for all Department accounting, including bond program purchase orders and invoicing.
  • Answer incoming calls, take reliable messages, and route to appropriate staff.
  • Receive, sort, and distribute mail and other documents to Department staff.
  • Create, proofread, copy, file, and distribute all correspondence for the Department, including memos, letters, and official documents.
  • Order supplies for the department.
  • Prepare monthly budget and expense reports for the department.
  • Assist administrators on projects as needed.
  • Communicate changes in policies and procedures.
  • Keep all assigned files, documentation, and forms current.
  • Schedule appointments for department administrators.
  • Maintain district records, adhering to all policies and learning the records retention schedule for departmental records.
  • Other duties as assigned.
