Salary: 47,000. USD / YEAR

Job Summary:

The Preconstruction Coordinator provides high-level administrative and coordination support to the Preconstruction team. This role is responsible for organizing project information, managing calendars and meetings, assisting with proposal and bid development, and supporting marketing and client-facing efforts. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced construction/preconstruction environment with multiple deadlines and stakeholders.

Responsibilities:

Operations Support: (70% )

  • Manage calendars for preconstruction leadership and team members, including scheduling internal and external meetings.
  • Coordinate logistics for meetings, presentations, and events (rooms, virtual links, catering, materials, etc.).
  • Assist in the preparation, formatting, and proofing of proposals, qualification packages, and bid submissions.
  • Maintain and update standard proposal content, such as team resumes, project sheets, and boilerplate language.

Data Management: (20%)

  • Maintain organized digital and physical filing systems for preconstruction documents, drawings, and correspondence.
  • Support document version control, ensuring current documents are distributed to internal and external stakeholders.
  • Help compile and organize bid documents, including plans, specifications, addenda, and subcontractor information.
  • Assist with distributing drawings, specifications, and updates to estimators, project managers, and subcontractors.
  • Handle general administrative tasks such as copying, printing, scanning, binding, and mailings.

Marketing Support: (10%)

  • Support the creation of client presentations (e.g., PowerPoint, handouts, leave-behind materials).
  • Help with light marketing tasks such as social media drafts, website content updates, or event support, as needed

:

  • Excellent verbal and written communication skills.
  • Ability to remain flexible and efficient in a fast-paced environment.
  • Ability to make intelligent and quick decisions, working well under pressure, and when faced with unexpected occurrences or delays.
  • Ability to effectively multitask while analyzing and solving problems.
  • Prioritizes multiple tasks and deadlines; maintains orderly systems for documents, schedules, and information.
  • Produces accurate, high-quality work; carefully reviews documents for formatting, completeness, and errors.

Qualifications and Experience:

  • High school diploma or equivalent required;
    Associate or Bachelor’s degree in business, communications, construction management, marketing, or related field preferred.
  • 2+ years of administrative, coordination, or office support experience preferred; experience in construction, architecture, engineering, or related industries strongly preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) or equivalent required.
  • Experience with PDF editing and mark-up tools (e.g., Adobe Acrobat, Bluebeam) preferred.
  • Familiarity with construction/preconstruction processes, terminology, and documentation is a plus.
  • Experience supporting proposal or marketing efforts (RFPs/RFQs, presentations, or similar) is preferred.
