Position Profile
The Administrative Assistant reports directly to the Associate Vice President of Division of Campus & Community Engagement and the Center for Social Research. This role will be responsible for the AVP's calendar and all incoming communications. This qualified candidate will provide confidential administrative support. Will assist in writing, preparing, and producing materials including direct mail, reports, and printed and electronic materials.
Will manage the reception area by providing courteous service to all calls and visitors within and outside of the university community.
This role will provide business service support to the Associate Vice President, and support by processing expenses, budget tracking, ordering office supplies, and following all college purchasing policies and guidelines. This role will also compile confidential information and prepare presentations for meetings and events with internal and external constituents. Will organize and maintain filing systems, write letters, memos and reports. Will handle high-level sensitive and confidential information covering many areas is critical.
May supervise, train or direct student staff or part time on tasks assuring work is complete. May be required to work evening or weekend events.

* Knowledge of office administration and management
* Knowledge of business math.
* Demonstrated organizational skills.
* Excellent verbal and written communication skills.
* Ability to operate office equipment which includes computers, tablets, and other equipment.
* Ability to operate office suite software, adobe, Teams, etc.
* Ability to handle sensitive information with confidentiality.
* Ability to meet deadlines and handle multiple projects simultaneously.
* Demonstrated ability to meet personally with a variety of people as a representative of the University System.
Applicant Evaluative Criteria
Applicant profiles and supplementary materials will be evaluated for appointment based on the following:
* Five (5) years of experience providing administrative support in an office setting.
* Experience maintaining records of expenses and budget tracking.
* Strong organizational skills to maintain an orderly and efficient office operation.
* Demonstrated ability of verbal and written communication with proper grammar, punctuation and spelling.
* Demonstrated ability to produce quality typewritten materials using personal computer equipment and software such as office suite, adobe, Teams, Adobe,
Ideal Candidate
Preferred qualifications include experience in higher education, budget management and possession of a bachelor's degree or higher.
A college or university background is desirable, as it may enhance a candidate's professionalism and familiarity with the higher education environment.
