Overview
Administrative & Bookkeeping Coordinator (AP/AR)
Location: Deal, NJ
Job Type: Full-Time (Seasonal) / Part-Time (Off-Season)
Schedule: Peak Season (Mid-May to September): 40 hours/week (Mon-Thu: 8:30 AM – 5:00 PM; Fri: 8:30 AM – 2:30 PM). Off-Season (October to Mid-May): 20 hours/week (Mon-Fri: 9:00 AM – 1:00 PM)
Salary: DoE
Responsibilities- Financial Processing & Control: Manage all Accounts Payable (A/P) and Accounts Receivable (A/R) processes, including data entry and payment processing.
- Process monthly credit card pledges and manage billing/entry for the annual drive and renovation/operations loan spreadsheet.
- Record and process A/P specifically related to renovation projects.
- Ensure security of financial records by transferring A/P, A/R, and bank data documents to the organizational safe.
- Membership & Donor Revenue Management: Execute billing for annual membership, Aliyot pledges, holiday seats, and lifetime seating arrangements.
- Assist with the billing and tracking for locker/cubby placements and raffle data entry.
- Enter and bill Aliyot pledges accurately.
- Administrative & Operational Support: Serve as the primary contact for communications, answer phones and manage organizational emails.
- Prepare and organize Aliyot books for Shabbat and High Holidays.
- Provide occasional assistance with organizational food shopping and other logistical tasks as necessary.
- Proven proficiency in essential office software, including Microsoft Excel, Microsoft Word, and Google Sheets.
- Strong general computer proficiency and ability to quickly learn new software systems.
- Excellent communication skills (written and verbal) and a punctual, reliable work ethic.
- Highly organized with strong attention to detail, particularly in data entry and financial record keeping.
- Reliable personal transportation (Car) is required due to occasional errands and operational needs.
- Ability to work the mandatory seasonal schedule, including the increase to 40 hours during the summer period (Mid May – September).
