Posting Summary

Rutgers is seeking an Administrative Coordinator for the Business Office, Division of Student Affairs – NB within the Student Affairs centralized human resource function. This position will be directly supervised by the Department Administrator Supervisor and will provide assistance with a variety of HR and payroll functions.

Responsibilities
  • Acts as a designated initiator in ROCs for all vacancies and requested classifications, and a preparer in the People Soft (HCM) and Time and Labor (T&L) applications.
  • Performs follow‑up to ensure new employee orientation tasks are completed.
  • Onboards all part‑time and full‑time employees.
  • Processes employee retirements, terminations, and suspensions.
  • Maintains division personnel files for aligned and non‑aligned staff, including Dining Services.
  • Assists with the audit of the division Federal Work Study Program for Class 5 employees, providing guidance, training, and problem solving for department payroll preparers and approvers on the use of university and division systems.
  • Serves as back‑up preparer for the division for all HR and payroll functions.
  • Works with knowledge of confidential and sensitive information and must always safeguard it.
  • Serves as back‑up in the absence of the Department Administrative Supervisor.
Qualifications
  • Bachelor’s degree in a related field or an equivalent combination of education and experience that demonstrates knowledge and understanding of office administration, organization, coordination, and facilitation.
  • Two (2) years of relevant experience in an administrative function.
  • Ability to safeguard confidential and sensitive information.
  • Good communication skills.
  • Computer literacy.
  • Knowledge of confidential information including payroll, grade levels.
Preferred Qualifications
  • Knowledge of university systems including HCM and People Soft.
  • Effective communication, organization, accuracy, and teamwork skills.
  • Software knowledge includes Microsoft Office, Excel, Docu Sign, SharePoint, and Word.

Salary Details

Grade 04

Minimum Salary: $59,893.48

Mid‑Range Salary: $73,909.48

Maximum Salary: $87,925.48
