Overview

Rutgers, The State University of New Jersey is seeking a Program Assistant within the Office of Marketing and Communications at the Rutgers Cancer Institute. The primary purpose is to provide entry‑level marketing support for the Office of Marketing and Communications and assist in planning, supporting, and executing various internal and external communications activities. The Program Assistant coordinates projects such as travel and logistics for participation in major oncology conferences, ordering and inventory of giveaways, and fiscal procedures and records for the department.

The Program Assistant independently prioritizes, organizes projects, and handles multiple tasks while maintaining a high level of professionalism and confidentiality.

Responsibilities
  • Organizes marketing and communication projects and handles multiple tasks.
  • Supports communication campaigns by handling data, content corrections, and distribution.
  • Supports Web Specialist with developing, maintaining, and refreshing content for the Rutgers Cancer Institute’s intranet and serves as a liaison/member of the Intranet Committee.
  • Confers with Office of Communications staff on ‘giveaway’ needs, maintains inventory, and submits proofs/drafts for approval before ordering with vendors.
  • Creates and posts digital slides on the video boards in the legacy Rutgers Cancer Institute building.
  • Schedules, coordinates, and confirms meetings and marketing events, including room setup, catering, Zoom/Teams, and travel for staff at major national oncology meetings (ASH, ASCO, etc.). Liaises with meeting vendors for exhibit setup and breakdown.
  • Processes all check requests, purchase orders, travel approvals, reimbursements, and timely payment of bills, ensuring expenditures conform to funding allocations. Organizes and maintains a system of financial records.
  • Provides high‑level administrative support to Office of Communications staff.
  • Handles the selection and processing of department interns each semester.
  • Assists physician liaison with execution of physician webinars and related outreach efforts, such as ordering meals and travel for physician outreach.
  • Collaborates with Rutgers Cancer Institute departments (Workforce Planning and Performance, Faculty Affairs, Research Administration, Patient Experience, Director’s Office).
  • Serves as a representative to the Patient Education Committee, Staff Satisfaction Committee, and other internal committees as warranted.
  • Handles confidential materials with discretion, maintaining confidentiality and working with minimal supervision.
  • Responsible for office payroll, time, and attendance records.
Qualifications
  • Bachelor’s Degree in Communications, Marketing, Public Relations, or similar area of study plus one (1) year of experience in marketing, communications, or a related area.
  • Equivalent education, experience, and/or training may substitute for the degree requirement.
  • Demonstrated effective oral and written communication skills.
  • Computer literate with proficiency and working knowledge of database and reporting tools, Microsoft Word, Excel, PowerPoint, Zoom, Web Ex, and Teams.
  • Ability to work with some latitude to plan and accomplish goals.
  • Highly motivated, creative, energetic, team‑oriented, flexible, and focused on completing projects timely, working effectively with multiple constituencies, and very organized and detail‑oriented.
Preferred Qualifications
  • Working knowledge of Adobe Suite, Constant Contact, Canva.
Salary

Minimum Salary: $51,988
Mid Range Salary: $61,929
Maximum Salary: $72,984
