Administrative Secretary Care Coordination
The Administrative Secretary will:
- Perform distribution of various reports and correspondence in accordance with established procedures and observation by Supervisor.
- Be proficient in Microsoft suite of products.
- Manage the data entry into our work order management system and purchase order systems. 20%
- Manage the distribution of utility bills in Capturis for the healthcare system 10%
- Manage the lease administration for the healthcare system's leased and owned properties. 5%
- Perform typing of correspondence, memoranda and various reports to vendors and contractors in accordance with established departmental procedures.
- File and maintain records for the Department as indicated by established procedures.
- Handle distribution of various materials in accordance with established procedures.
- Receive and screen visitors, employees and patients telephone calls and incoming/outgoing mail for Department.
- Schedule meetings, conferences and appointments; completes travel and conference arrangements, and maintains Department calendar in accordance with Department procedure.
- Requires a 2-year secretarial training program or 3 years of prior secretarial experience.
- Requires the ability to type using a wide range of maintenance and construction trades terminology; 60 wpm
- Requires basic skills in organizing Departmental daily work flow. Work is performed with specific procedures but requires prioritizing, organizing and handling of occasional exceptions. Requires basic interpersonal skills in order to deal effectively and courteously with a diverse group of callers, Physicians, patients, visitors and other health care professionals.
- Valid and in good standing driver's license issued by the state of New Jersey preferred due to the possibility of driving a facility vehicle to our various locations.
We offer competitive base rates that are determined by many factors, including job‑related work experience, internal equity, and industry‑specific market data. In addition to base salary, some positions may be eligible for clinical certification pay and shift differentials.
The salary range listed for exempt positions reflects full‑time compensation and will be prorated based on employment status.
