- 2 - 4 years of office experience in a busy office setting or any combination of related experience
- Knowledge of front office/reception area telephone techniques, etiquette and office procedures
- Proficiency using a variety of office equipment and productivity software(MS Office, Google Docs)
- Ability to answer multiline telephone system for the purpose of screening and transferring calls, responding to inquiries and/or taking messages
- Demonstrate effective written and verbal communication skills
- Standard English usage, grammar, spelling, punctuation and vocabulary
- Ability to communicate a positive public relations image for the District Office
- Perform general clerical duties, including word processing, filing, and duplicating materials
- Ability to maintain effective interpersonal relations using tact, patience and courtesy
- Ability to work independently with limited direction in carrying out routine assigned tasks
- Ability to follow directions with a cooperative attitude
- Maintain consistent, punctual, and regular attendance
Minimal amount of weight lifting required
PERFORMANCE RESPONSIBILITIES- Initial point of contact for all visitors to the district office
- Courteously greet, screen, and direct visitors to the appropriate district offices, school sites, and personnel
- Accurately relay messages as appropriate, providing general information to callers as needed
- Ensure that visitors sign in on the appropriate registry sheet
- Perform secretarial level duties including word processing, filing, and duplicating materials as assigned by designated supervisors/administrators
- Receive, sort and distribute mail
- Send and receive emails and research information through the internet
- Operate standard office equipment, i.e.: telephones, computers, fax, and copiers
- Exercise good judgment and confidentiality in conformance with district policy
- Respond in a timely manner to requests for information and assistance
- Provide sensitivity and respect for the diverse academic, socio-economic, ethnic, religious, and cultural backgrounds, disabilities and sexual orientation of students, the public, administrators and staff
- Establish and maintain cooperative and effective working relationships with others
- Master new computer-based office software as required
- Evaluate situations and inquiries (e.g. involving staff, students, parents, the public, etc.) for the purpose of directing to the appropriate personnel for resolution
- Respond to emergency calls for the purpose of forwarding to appropriate parties to address immediate issues
- Multi-tasking and prioritizing of work tasks without guidance
- Perform other duties and responsibilities as assigned
