Summary Statement

The incumbent is responsible for supporting department‑wide bi‑weekly payroll for approximately 4,500 staff; calculating simple and complex payroll adjustments based on position and pay changes, workmen's compensation claims, short‑term disability, garnishments, retroactive pay, etc. The incumbent should have knowledge of state and federal laws, rules and regulations, as well as the ability to maintain internal controls, research complex issues while communicating effectively both orally and in writing to support the unit, management and the department.

Functions
  • Review forms and source documents such as bills, receipts, invoices, claims, or service contracts to complete purchase orders; confirm accuracy, completeness, required documentation and approvals in compliance with applicable procedures, practices and standards.
  • Verify or determine correct classification and coding of transactions.
  • Use commercial and proprietary automated information systems and computer software to enter, update, modify, delete, retrieve and report on data.
  • Use standard formulas to perform and verify calculations; monitor balances and identify and report discrepancies.
  • Create and maintain financial records, documents and files.
  • Prepare reports and summaries on the status of accounts or other financial data.
  • Participate in recommending changes to internal procedures, forms or process enhancements.
  • Gather and compile data for higher‑level staff.
  • Perform general office work and functions as assigned such as preparing correspondence and distributing documents.
  • May perform payroll entries and process payroll in automated information systems.
  • Deliver excellent customer service to internal and external customers and the public in person, electronically, or by written communication.
  • Communicate and interact effectively with people across cultures, ranges of ability, genders, ethnicities, ages, and races.
Job Requirements
  • Six months' experience in processing accounting, auditing or payroll transactions following applicable laws, rules, regulations, standards, policies and procedures.
  • Six months' experience in determining compliance of financial transactions with required documentation, computations, codes, signatures, rules or regulations.
  • Six months’ experience in preparing financial reports such as combining and presenting financial data from multiple sources in an organized format.
  • OR
  • Possession of an Associate's degree or higher in Accounting or related field.
