Registrar Position
The Registrar is responsible for the integrity, accuracy, and management of all student academic records while supporting student enrollment, graduation, and post-secondary planning processes. Working collaboratively with the Director of School Counseling, school counselors, Dean of Students, Data and Budget Analyst, and administrative staff, the Registrar ensures compliance with district, state, and federal requirements related to student records and serves as the primary resource for student registration, enrollment, transfers, transcripts, and academic record management.
Qualifications:
- Associate's degree preferred, or an equivalent combination of education and progressively responsible administrative experience.
- Three to five years of administrative experience, preferably in an educational setting.
- Exceptional organizational, time management, and prioritization skills.
- Excellent written, verbal, and interpersonal communication skills.
- Demonstrated judgment, discretion, and ability to maintain confidentiality.
- Proficiency with office productivity software and the ability to learn student information systems and related technology platforms.
- Ability to build positive, collaborative relationships with students, families, staff, and community partners.
- Ability to manage multiple priorities while maintaining accuracy and attention to detail.

Evaluation:
Performance of position responsibilities will be evaluated annually in accordance with the approved administrative procedure for staff evaluation.
General Responsibilities:
- Student Records and Registration:
- Manage all aspects of student registration, enrollment, withdrawal, and transfer processes.
- Serve as the primary point of contact for new student enrollment and registration.
- Maintain the accuracy, security, and confidentiality of cumulative student records and transcripts.
- Process requests for student records and transcripts in accordance with district policy and applicable regulations.
- Maintain student enrollment data and ensure compliance with district and state reporting requirements.
- Postsecondary Planning:
- Support counselors and students throughout the college application process.
- Manage Naviance, including annual updates, student support, and submission of college application materials, mid-year reports, and final transcripts.
- Serve as the NCAA Eligibility Center liaison, maintaining approved course information and submitting transcripts for prospective student-athletes.
- Provide required student information to military recruiters in accordance with applicable laws and district procedures.
- Scholarships, Awards, and Graduation:
- Coordinate local community scholarship application process, including maintaining scholarship records, supporting student applications, and assisting organizations establishing new scholarships.
- Support the planning and implementation of Senior Scholarship and Awards Night.
- Collaborate with school administration in coordinating graduation activities.
- Support the Dean of Faculty in the implementation of academic awards programs.
- Data Management and Reporting:
- Maintain and annually update the school profile in consultation with the Director of School Counseling.
- Maintain student community service records.
- Prepare and submit state reporting information as assigned.
- Ensure the accuracy and integrity of student data used for district, state, and federal reporting.
