This position has significant direct impact on revenue generation for the University and plays a critical role with respect to legal compliance risk management. The Assistant Director supervises all activity related to analyzing, recording, reconciling and maintaining transaction information of gifts, pledges, matching gifts and adjustments as well as overseeing receipt, acknowledgement and pledge fulfillment and matching gift outreach processes.
Responsibilities- Determine and implement policy and procedures for charitable gift processing and accounting.
- Design and execute processes and workflow.
- Prepare, post, and report all gifts, new pledges and pledge payments.
- Work closely with UA Finance to manage and reconcile the feed to Banner Finance.
- Ensure compliance and data integrity: follow federal IRS regulations and CASE guidelines, develop and maintain a dynamic manual of gift management policies, processes and procedures.
- Perform reconciliation analysis to determine proper designations, solicitations, crediting and special handling.
- Serve as primary point of contact within Gift & Data Management for financial audit and produce required materials for all financial and business process audits.
- Manage PCI DSS compliance: act as designated MDRP to monitor and train for PCI Compliance for the Advancement Division.
- Provide leadership, guidance and supervision for Gift and Data Management staff.
- Prioritize and assign tasks, conduct performance reviews, hire and train new staff, monitor overtime expenditures, and recommend staffing funding.
- Produce internal policy and procedural documentation in accordance with IRS, CASE and USNH regulations and guidelines.
- Educate staff on gift administration duties and train new staff on gift processing procedures.
- Stay educated on new and emerging trends in gift processing, IRS law and reporting standards.
- Design and oversee implementation of programs to maximize pledge fulfillment.
- Oversee pledge fulfillment process for the University, guiding schedules, follow‑up procedures and reporting on program success.
- Advisory on development of content for all related communications and serving as point of contact for donor inquiries and special requests.
- Create and execute strategic plans for multiple gift revenue channels.
- Design, implement and maintain the matching gift program and associated marketing communications.
- Manage matching gift portals and gift confirmations.
- Collaborate with Annual Fund to streamline processes and marketing for increased staff participation.
- Coordinate payroll deduction program in conjunction with HR and Payroll.
- Produce quarterly report of online giving achievements for all campaigns and designations.
- Assist with creating and managing multiple online giving pages, update content, send email updates, and schedule content reviews.
- Consult and manage processing of complex transactions with other departments (phonathon, sponsored program administration, in‑kind gifts, IRAs, DAFs, planned gift reporting and quality assurance).
- Perform gift and pledge adjustments, report revisions, and research corrective action for financial settlement.
- Monitor corporate matching gifts and provide reporting.
- Ensure integrity of gift data for the entire University and monitor biographical data accuracy.
- Administer reporting for quality‑control reports, propose new reports, and develop unbiased audits striving for 98% accuracy.
- Bachelor’s degree and three years of related experience, including one year of supervisory experience.
- Working knowledge of standard gift processing procedures.
- Previous experience in charitable gift administration and strong background in accounting and compliance preferred.
- Experience with Black Baud CRM, iModules, Pay Conex/Bluefin.
