Administrative Assistant – Legal & Compliance Team
The Administrative Assistant will provide essential support to the Legal and Compliance team, performing a wide range of administrative, operational, and legal support responsibilities. This role requires strong organizational skills, exceptional attention to detail, and the ability to manage multiple priorities in a fast‑paced environment. The ideal candidate will be proactive, professional, and capable of supporting attorneys and compliance staff with efficiency and accuracy.

Base pay range: $75,000.00/yr - $80,000.00/yr
Responsibilities- Provide comprehensive administrative support including heavy calendar management, phone coverage, and document filing (both paper and electronic).
- Maintain and update databases, legal document management systems, and internal reporting tools.
- Manage invoice processing for the Legal team, including bill review, approvals, and communication with external billing teams.
- Track attorney bar admission requirements, renewals, CLE compliance, and status updates.
- Coordinate domestic and international travel arrangements, including detailed itineraries and logistics.
- Prepare and submit accurate expense reports for attorneys and department leaders.
- Assist in planning and executing team meetings, events, and departmental initiatives.
- Support ongoing compliance processes and special projects as needed.
- Minimum of 3+ years of administrative experience with a strong record of professional success; experience in financial services preferred but not required.
- Bachelor’s degree (BA/BS) preferred with strong academic performance.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Exceptional attention to detail, high degree of accuracy, and strong risk‑awareness mindset.
- Excellent written and verbal communication skills, with the ability to work efficiently and maintain deadlines.
- Strong organizational skills, ability to manage processes, and maintain structured workflows.
- Professional, proactive, and reliable team player with strong interpersonal skills.
