Columbus House opened its doors in 1982 to provide services for men and women at least 18 years of age. Our goals quickly broadened from the mere provision of food and shelter and simple survival, to understanding and working toward overcoming the problems which cause people to become homeless.
Columbus House, along with its core of loyal supporters, friends, and volunteers, has remained committed to fulfilling its mission: "To serve people experiencing homelessness or at imminent risk by providing life-saving outreach, shelter and housing and by fostering their personal growth and independence. We advocate for and create affordable housing to end homelessness in our communities."
Purpose
Under the direction of the Chief Executive Officer, the Executive Assistant provides the Chief Executive Officer, the Senior Management Team and the Board of Directors with a professional level of confidential administrative support. We are seeking a proactive and enthusiastic Executive Assistant who is eager to contribute to the continued success of Columbus House's mission. The ideal candidate is organized, detail-oriented, and open to learning with a strong willingness to take initiative.
Duties and Responsibilities
- Assists the Chief Executive Officer in all areas of scheduling, filing, correspondence, meeting planning & preparation as well as any other tasks assigned by the CEO
- Manage calendar, review and flag priority emails
- Drafts correspondence and assembles confidential and sensitive information
- Schedules and attends monthly board meetings; schedules board committee meetings; composes, transcribes and disseminates board minutes; assists in coordinating board-related correspondence; maintains board records and On Board, assembles board packets for new board members.
- Manages and keeps track of committees and group membership, attendance, participation and renewals
- Attends other meetings as approved by CEO, such as Leadership Council, Safety Committee, TAG Committee, QA Committee, etc., to compose, transcribe and disseminate meeting minutes
- Performs computer-related tasks including presentation development, data entry, formatting reports, grants, contracts and legal documents, file organization management
- Purchases agency office supplies and stationery
- Manages petty cash
- Maintains supply room and manages office machines (fax, copier, postage, etc.)
- Picks up, sorts and distributes agency mail daily; purchases postage for meters as needed; sends and receives certified mail and packages for agency staff
- Provides administrative support to Chiefs as it relates to the Board and Board Committees
- Some evening and weekend work is required
- Other related duties as assigned
- Passion for the mission of Columbus House
- Interest in being a supporting part of the leadership team of a mid-sized NPO
- Bachelor's Degree
- Minimum of 4 years of office management and/or administrative support experience working for senior level management
- Outstanding skills in the utilization of Microsoft Office programs, including Teams and SharePoint; experience with Zoom scheduling and calendar sharing required
- Excellent written and verbal communication skills
- Ability to represent CHI professionally; maintaining confidentiality and handling sensitive matters with discretion and diplomacy
- Able to clearly articulate the Columbus House mission and is adept at maintaining relationships with staff, managers, directors, board members, donors and all other Columbus House stakeholders
- Excellent organizational and time management skills
- Self-starter, highly motivated and resourceful team player able to manage multiple projects and conflicting priorities under deadlines in a fast-paced environment
- Forward looking thinker who actively seeks opportunities and proposes solutions
Chief Executive Officer
Schedule: 40 hours per week;
Monday - Friday 8am-4pm some evenings required
Salary range: $25.50 - $28.25 based on education and experience
