All Saints Catholic Academy
All Saints Catholic Academy is seeking a dedicated and detail-oriented Office Coordinator to work in partnership with the Principal and staff, and support families in navigating tuition payments, scholarship programs and applications. This role is critical in facilitating key tasks and data processes for All Saint’s school families while maintaining accurate records.
Key Responsibilities- FACTS Management System: Post tuition, fees and other payments into the FACTS system and ensure accuracy for family records.
- Scholarship Assistance: Assist families in completing various scholarship applications as well as track scholarship funds awarded and ensure timely award disbursements.
- Care 4 Kids Program: Guide families through the Care4
Kids application and redetermination process, complete monthly attendance reports to ensure the school receives its monthly payment. - Outstanding Tuition & After-School Payments: Monitor and follow up with families who are behind on tuition and after-school payments, ensuring prompt collection.
- Financial
Delinquency Reporting: Providing regular updates to the principal about families outstanding payment delinquencies and families next step in resolving. - Family Support & Communication: Work closely with families to provide guidance on financial aid options and ensure families understand their obligations.
- Office: Greet office visitors and callers, making them feel welcome and comfortable, answer any questions and transfer callers to the appropriate person.
- Data Entry: Creating, updating and maintaining databases, spreadsheets and reports.
- Clerical Support: Inventory, office supplies, filing, scanning, copying and organizing both paper and electronic documents.
- Families Payments: Accept and process in office or by phone families payments.
- Familiarity working with FACTS school tuition management system and Care4
Kids process. - Strong attention to detail and ability to manage multiple data processes.
- Excellent communication and interpersonal skills to work with diverse families.
- Must be Bilingual (English/Spanish).
- Proficiency in Gsuite, Canva, Meta Platforms or other similar office systems.
- Ability to handle families financial information with confidentiality and professionalism.
- Excellent organizational and time management skills; ability to effectively handle multiple, concurrent tasks and activities.
- Strong familiarity working in an elementary school environment is a plus.
- Bachelor/Associate’s degree or high school diploma
- 2+ years in an office education setting.
- Elementary school certifications are a plus.
