The Program Coordinator reports to the Program Manager and provides advanced support to frontline fundraisers in the Major Gifts unit within the Office of Development. Responsibilities include writing, research, data analysis, project coordination, and assisting with special events. Duties encompass drafting a wide variety of written materials – donor briefings, gift proposals, stewardship reports, and internal and external correspondence – all conforming to Yale’s style and voice.

The Coordinator conducts research on individuals, corporations, foundations, and institutions using databases and internet search engines, creates ad‑hoc reports and analyses via database queries and Excel manipulation, supports the planning of high‑level special events, tracks donor stewardship, and serves as an internal liaison for gift officers.

Required

Skills and Abilities
  • Exceptional communication skills with a special emphasis on advanced writing ability and editing. Ability to communicate effectively with top‑level donors, faculty, and administrators, and to initiate and complete tasks with minimal supervision. Writing sample required at time of interview.
  • Demonstrated organizational and research abilities with strong attention to detail, including analysis of large volumes of information from disparate sources and synthesis into a concise, cogent form.
  • Proficiency with MS Word and Excel, and the ability to conduct data analysis and work with financial information. Knowledge of PowerPoint, database software, and Adobe Acrobat.
  • Ability to prioritize work, manage multiple tasks, and meet deadlines in a time‑constrained environment, while maintaining strict confidentiality.
  • Ability to engage with diverse audiences across age, gender, nationality, race/ethnicity, profession, and sexual orientation, and to demonstrate a positive, can‑do attitude through teamwork and support for others.
  • Principal Responsibilities
  • Draft a wide variety of written materials, including detailed prospect briefings, endowed gift agreements, proposals, and correspondence that conforms to Yale’s style and voice.
  • Coordinate research on individual donors and the history and status of gift commitments, ensuring accuracy of acknowledgments and all information communicated to donors.
  • Prepare reports on prospect pools summarizing giving, status, affiliation, and other data points as needed.
  • Assist in the coordination of special events, including dedications, donor recognition events, and celebrations of special initiatives, ensuring timely and successful completion.
  • Design and produce ad‑hoc reports based on data extracted from primary databases to support fundraising programs.
  • Oversee stewardship functions to ensure that donors receive ongoing communication regarding the benefits of their gifts to Yale.
  • Support fundraising directors and gift officers in a range of additional activities related to the University’s development effort as needed.

    Education and Experience

    Six years of related work experience, four of them in the same job family at the next lower level and a high school education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor’s degree in a related field; or an equivalent combination of experience and education.
