FACULTY ADMINISTRATIVE COORDINATOR
Pay: $31/hour
Schedule:
Monday-Friday, 8:30/9:00 AM-5:00 PM
Location:
On-site in New Haven, CT; potential for hybrid/remote flexibility upon permanent hire
Our client is seeking a highly organized Faculty Administrative Coordinator to provide administrative support to a group of faculty within a busy academic department. This position will coordinate faculty appointments, hiring-related paperwork, visa processes, job postings, scheduling, and departmental administrative activities. The ideal candidate will have strong administrative experience and be highly organized, detail-oriented, proactive, and comfortable managing confidential information and multiple priorities.
Responsibilities- Provide administrative support to faculty, including scheduling, calendaring, correspondence, and travel coordination.
- Coordinate faculty appointments, hiring paperwork, onboarding/offboarding, and job postings.
- Assist with faculty visa and immigration-related processes and documentation.
- Serve as a primary administrative contact for faculty and staff regarding departmental policies and procedures.
- Coordinate departmental meetings, events, seminars, schedules, and special projects.
- Prepare and maintain departmental documents, records, databases, and reports.
- Process administrative and financial paperwork and assist with budget-related activities.
- Research issues, resolve problems, and identify opportunities to improve administrative processes.
- Handle confidential information with discretion and professionalism.
- Bachelor’s degree plus two years of administrative and HR experience preferred. Equivalent combination of education and relevant experience considered.
- Strong administrative support experience in a complex, fast-paced environment.
- HR experience preferred, particularly exposure to hiring, onboarding, employment documentation, or visa/immigration processes.
- Excellent organizational, communication, and time-management skills.
- Ability to manage multiple priorities, meet deadlines, and work independently.
- Strong attention to detail and sound judgment when handling confidential information.
- Proficiency with Microsoft Office and administrative systems.
