Reporting to the Manager, of Administrative & Academic Affairs, the Chief of Staff serves as a strategic administrative and operational partner to the Cancer Center Director, providing comprehensive oversight and coordination of the Director’s Office. The position is responsible for supporting and directing the day-to-day administration and operations of the Director’s Office, ensuring that priorities, initiatives, communications, and activities are effectively coordinated and aligned with the Cancer Center’s strategic goals.
The Chief of Staff serves as a central point of coordination for the flow of information, people, and priorities through the Director’s Office. This includes managing complex and often competing demands on the Director’s time, facilitating communication and decision-making, coordinating high-level meetings and activities, and ensuring timely follow-through on key initiatives and commitments.
Acting with a high degree of professionalism, discretion, judgment, and independence, the Chief of Staff represents the interests of the Director in interactions with faculty, staff, senior leadership, institutional partners, external organizations, and other key stakeholders. The position establishes and maintains effective working relationships across the Cancer Center and broader organization and serves as a trusted liaison between the Director’s Office and internal and external constituents.
The Chief of Staff also provides leadership and coordination for special projects, strategic initiatives, and organizational priorities on behalf of the Director. The role anticipates needs, identifies and addresses operational issues, facilitates collaboration across teams, and ensures that important matters receive appropriate attention and resolution. Through effective organization, communication, and relationship management, the Chief of Staff enables the Director to focus on the Cancer Center’s strategic, academic, clinical, research, and organizational priorities.
RequiredSkills And Abilities
- Superior interpersonal skills with the ability to manage complex issues and represent the department well in various contexts.
- Highly developed organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
- Proficiency in using MS Office Suite (Word, Excel, PowerPoint), with strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive matters with discretion and professionalism.
- Strong project management skills with the ability to design and implement policies and procedures to enhance office efficiency.
Skills And Abilities
- Bachelor's degree and extensive experience in a senior-level administrative or executive setting, including supervisory roles.
- Experience working in an academic or similar environment with a strong understanding of administrative processes and event management.
- Advanced computer skills, particularly in Microsoft Office Suite, Outlook, Zoom, and internet search engines.
- Familiarity with managing project budgets, VIP visitors, and high-profile events.
- Knowledge of federal or foundation grant processes and requirements.
- Supervises the administrative functions of the office with responsibility for the training and development for a minimum of two full time staff members.
2. Ensures communication with various projects and initiatives in a timely and efficient manner. Researches information on a wide variety of topics and events requiring contact with university officials, faculty, etc. Prepares and contributes to the preparation of reports, briefings, presentations and responses on strategic initiatives as appropriate.
