Elm City Montessori School Business Manager
Job OverviewThis is a 12‑month position reporting to the Director of Finance and Operations. The role oversees the school’s financial operations, facilities, and human resources to support a community of approximately 325 students ages 3‑13.
Responsibilities- Finances
- Receive, process, and record cash receipts.
- Manage bill payment and vendor accounts.
- Maintain bookkeeping records in accordance with GAAP.
- Solicit and document quotes for supplies and services.
- Issue and monitor purchase orders.
- Process disbursements and reimbursements.
- Review monthly budget versus actual report in Quick Books.
- Track office supplies and plan for replenishment.
- Record in‑kind donations and services.
- Oversee the Extended Day program invoice and payment system.
- School Operations
- Coordinate purchasing and inventory for all supplies and materials.
- Manage operations requests and inventory organization/distribution.
- Prepare, order, and set up for school and community events.
- Human Resources
- Collect and manage payroll paperwork; run background checks.
- Process payroll, benefits, and HR reporting.
- Maintain personnel files.
- Track employee absences and conduct quarterly follow-up meetings.
- Bachelor’s degree required.
- Minimum 2–5 years of professional experience in a school or early childhood program with operations, facilities, and human resources.
- Knowledge of bookkeeping, financial reporting, GAAP, audits, budgeting, and cash flow management.
- Prior compliance, charter or public school experience preferred.
- Well‑organized, positive, proactive, and motivated.
- Strong communication skills and experience coordinating programs.
- Montessori training preferred.
- English and Spanish (bilingual) preferred.
- Alignment with the mission and vision of ECMS.
Salary: $45,000–$50,000, based on education and experience. Benefits include medical, vision, dental, and 401(k) matching.
