Overview
Reporting to the Director of Production, the Woolsey Hall Production Manager plays a key role as part of a dedicated and fast‑paced production department by advising and overseeing the production events and program activity in Woolsey Hall, a historic concert hall that is part of the Yale Schwarzman Center, the University’s first‑ever center for dining, student life, and the arts. This position works evenings and weekend hours with regularity.

The Woolsey Hall Production Manager supports all events and program production activity in Woolsey Hall. Reporting to the Director of Production and working closely with the other members of the production team, including the Woolsey Hall Event Lead, this role will oversee operations of Woolsey Hall, manager labor and workforce, maintain inventory and space usage, collaborate with other stakeholders of the Hall, participate in planning meetings, oversee space rental processes, and perform other ongoing responsibilities to support the smooth execution of events.
The Woolsey Hall Production Manager will carry out duties while exercising a high degree of autonomy and discretion, while working to foster an inclusive and respectful working environment around production activity at the Center and on campus in general. Duties
- Oversees daily operations of Woolsey Hall and ensures the successful execution of all events, ensuring the safety of production facilities at all times.
- Assumes primary responsibility for production oversight for assigned events in Woolsey Hall and other venues within the Schwarzman Center as assigned.
- Oversees the rental process of Woolsey Hall from inquiry to execution, working with the Director of Production & Associate Director, Venues & Exhibitions to determine business levels.
- Manages and maintains Woolsey Hall staffing and labor resources. Coordinate outside vendors as needed.
- Engages in the production planning and execution of Yale Schwarzman Center events and productions as assigned by the Director of Production.
- Ensures that the Front of House policies are adhered to and followed by all users of the space.
- Manages and maintains Woolsey Hall inventory and storage space usage. Advise on equipment and venue upgrades and purchases in conjunction with the Director of Production and Technical Director.
- Coordinates with internal and external partners including Yale School of Music, Institute of Sacred Music, Yale College Undergraduate Production, Yale Fire Code Compliance, New Haven Fire Dept, Yale Environmental Health and Safety, Risk Management, & Faculty in Yale departments, programs, and schools.
- Manages the client relationship as assigned and participate in day‑of execution of productions as needed.
- Contributes to creation of production budgets with Director of Production. Works with production and artistic teams to arrive at artistic execution that aligns with project budgets, available resources, and organization values.
- Drafts contracts for external users of Woolsey Hall for upcoming events.
- Manages the contracting and billing process for internal and external users of Woolsey Hall.
- Collaborates with other production staff and assist as necessary to help ensure the highest levels of production and client service possible.
- Collaborates interdepartmentally across the university to identify systemic barriers that are in conducive to an inclusive environment. Helps implement inclusive best practices.
- Collaborates interdepartmentally to understand, question, and transform work systems, structures, and practices to reflect anti‑racist values.
- Attends production meetings, staff meetings, other meetings as needed.
- Performs other duties as assigned.
