Overview
Under the supervision and direction of the Law School Registrar, the Associate Registrar provides primary functional support for academic records, degree audit, registration, and final examinations at Yale Law School (YLS). The Associate Registrar demonstrates significant independent decision‑making and is responsible for a wide range of academic and administrative functions that support students, faculty, graduates, and institutional constituents.
The Associate Registrar will oversee final examinations and serve as the primary point of contact for all exam‑related questions, including communication with faculty and students, oversight and routine testing of the exam software, and coordination with YLS ITS, Student Accessibility Services, the exam software vendor, and training exam proctors.
Responsible for ensuring that students have accurate academic and personal records, monitoring the term roll and set‑up of academic terms in the student information system, ensuring accurate graduation records, and reporting regular changes in student status to appropriate stakeholders.
The successful incumbent will maintain accurate records of student and course data for all YLS degree programs through integrated student information systems, ensure data integrity across systems, supervise support staff, assure compliance with FERPA and other laws, oversee transcript requests, advise students and faculty on academic policies, coordinate communication, lead initiatives to improve information flow, maintain academic content on the YLS website, and maintain operations and policies of the Registrar's Office.
Responsibilities- Recommends and sets policies governing student records systems.
- Determines final exam schedules and prepares/publishes exam schedules and classroom assignments.
- Plans and reviews the registration process and the method for maintaining student records.
- Oversees the preparation of the degree list and designs classroom allocations and assignments.
- Directs, writes, edits, and produces supplements to University programs of study.
- Supervises the receipt, processing, and recording of grades.
- Reviews and analyzes petitions for degrees under University requirements.
- Solicits enrollment projections and specialized information on requirements for departments and residential Deans.
- Advises on privacy regulations.
- Prepares and presents prospective student curricula to the Dean.
- May perform other duties as assigned.
Skills and Abilities
- Expert knowledge of academic and administrative policies and procedures for curriculum, registration, enrollment, record management, grading, assessment, or scheduling; familiarity with FERPA and higher‑education issues.
- Commitment to providing exceptional service with excellent oral and written communication skills and the ability to use diplomacy and tact.
- Excellent analytical, organizational, and data‑management skills; proficiency with integrated administrative databases, software applications, reporting tools, and expertise in Excel.
- Ability to interpret and apply academic policies with sound judgment, analyze workflows, resolve discrepancies, and improve processes for efficiency and accuracy.
- Demonstrated ability to multitask in a fast‑paced environment with meticulous attention to detail and adapt to changing situations professionally.
Skills and Abilities
- Knowledge of student information systems such as Ellucian Banner, Degree Works, Application Xtender, Parchment, Dynamic Forms, and Argos; experience working with faculty, students, administrators, IT partners, and campus constituents.
- Familiarity with law schools and ABA requirements or decentralized university policies and procedures.
- Graduate degree.
Education and Experience
Bachelor’s Degree in a relevant field and four years of experience in a college registrar’s office or an equivalent combination of education and experience.
