OverviewReporting to the Director of Faculty Affairs, the Assistant Director serves as a key member of the Yale School of Public Health (YSPH) and is responsible for managing a broad range of faculty affairs activities that support the recruitment, appointment, development, and retention of faculty. The Assistant Director provides leadership and subject matter expertise for faculty lifecycle processes, ensuring compliance with University policies, School guidelines, and regulatory requirements.
The Assistant Director partners closely with department chairs, faculty, administrators, Human Resources, the Provost's Office, and other University stakeholders to facilitate faculty appointments, reappointments, promotions, leaves, searches, onboarding, and offboarding activities. This position exercises independent judgment in coordinating complex faculty affairs processes and developing solutions to support strategic school priorities.
The Assistant Director oversees faculty recruitment administration and serves as the primary coordinator for faculty search processes across YSPH. The incumbent works collaboratively with academic departments to ensure equitable and efficient search practices, monitor search progress, maintain compliance with University guidelines, and support search committees throughout the recruitment process.
The Assistant Director leads the development, implementation, and continuous improvement of YSPH faculty onboarding and orientation programs. Working with stakeholders across the School and University, the incumbent ensures a coordinated and comprehensive onboarding experience that supports faculty success and integration into the Yale community.
The position is responsible for maintaining accurate faculty records and tracking systems, developing reports and analyses to support decision-making, and identifying opportunities to improve operational effectiveness through process enhancement and technology solutions.
Principal Responsibilities Faculty Lifecycle Administration- Management of faculty affairs processes across the faculty lifecycle, including appointments, reappointments, promotions, tenure and term reviews, leaves of absence, transfers, and separations.
- Serve as a subject matter expert on University faculty policies, procedures, and deadlines.
- Advise department administrators and faculty leaders on faculty affairs requirements and best practices.
- Ensure the timely and accurate preparation, review, and submission of faculty actions and supporting documentation.
- Lead administrative oversight of faculty searches across YSPH.
- Coordinate faculty recruitment activities and provide guidance to departments throughout the search process.
- Monitor search progress, compliance requirements, and timelines.
- Partner with search committees, Human Resources, and University offices to facilitate successful recruitment efforts.
- Develop and maintain search-related guidance materials, templates, and training resources.
- Design and implement YSPH new faculty onboarding and orientation programs.
- Coordinate onboarding activities with departmental, school, and university stakeholders.
- Ensure new faculty receive timely information regarding appointments, benefits, compliance requirements, systems access, and institutional resources.
- Continuously improve onboarding processes to enhance faculty engagement and success.
- Collaborate with School leadership to support faculty development, mentoring, recognition, and engagement initiatives.
- Assist in coordinating faculty meetings, workshops, and professional development programs.
- Support initiatives that promote faculty success, retention, and career advancement.
- Interpret and apply University and School policies related to faculty appointments and employment.
- Serve as a resource for departments regarding faculty affairs policies, procedures, and documentation standards.
- Maintain accurate faculty data within institutional systems, including Workday, Interfolio, and other University platforms.
- Develop reports, dashboards, and analyses related to faculty appointments, recruitment, promotions, and workforce planning.
- Utilize data to identify trends, support strategic planning, and inform decision-making.
- Lead process improvement initiatives to enhance efficiency, consistency, and customer service.
