Overview

The Yale Alumni Magazine (YAM) is a key publication of Yale University, bringing news and information to members of the alumni community. Reporting to the YAM Editor with a dual report to the division Operations Manager, the YAM Financial Analyst provides comprehensive financial and business support, serves as liaison to the division business office, and oversees operations for the department.

  • Together with Editor and the division business office, support YAM’s short‑ and long‑term financial strategies. Provide day‑to‑day financial oversight, support, and guidance on YAM business operations. Review and revise, as needed, departmental procedures and controls to maximize accuracy and efficiency. Ensure departmental compliance with all aspects of university financial policies and internal controls and recommend and implement ongoing improvements. Serve as a primary source of departmental information for division business office.
  • Review and submit all supplier invoices and freelance writer payment requests for payment. Coordinate purchase agreement, e.g., large printing agreements, from negotiations through approved purchase orders between Yale Procurement and suppliers.
  • Monitor YAM operating budget, conducting quarterly forecasts and informing leadership of financial performance and risks. Review financial activity for compliance and accuracy. Prepare journals and take necessary actions for fiscal year‑end close. Working with the division business office, assist with annual budget submission. Maintain account balances and handle unreconciled items, e.g., labor suspense, bounces, holds. Establish and maintain university‑compliant file system.

    Perform additional business services as required.
  • Prepare ad‑hoc and supplemental financial reports on YAM financial activity. Conduct regular budget reviews to understand financial results and help ensure accurate forecasting. Manage online payments and donations.
  • Supervise staff including the Advertising Sales Representative, providing oversight of associated ad revenues and commission payments.
  • Coordinate equipment needs for the department including IT hardware replacement plan.
  • With division business office, help manage goods and services procurement, ensuring compliance with university policies. Follow up with staff and suppliers to resolve issues. Monitor purchasing card charges, expense reports and supplier invoices; notify staff of outstanding transactions and resolve within policy.
  • Other duties include, but are not limited to, responsibilities related to advertising, print orders, and mailing/circulation, including donor and distribution list management; work with Gift & Record Services on tasks related to appeals; and monitoring and responding to a variety of messages for the YAM email account.

  • Provides technical analysis to determine present and future financial performance. Organizes information from a variety of sources for use in analyzing future plans and forecasts. Collaborates with all levels of management, both internally and externally, to gather, analyze, summarize, prepare, and present recommendations regarding financial plans and other complex financial matters. Researches and evaluates information to resolve issues and makes recommendations.

    Develops and/or executes complex financial models.
  • Analyzes and synthesizes information and designs and creates accurate and timely reports. Designs financial reporting to meet the compliance needs of internal and external users. Extracts and consolidates data from multiple sources.
