Overview
Business Office Specialist reports to the David Geffen School of Drama at Yale/Yale Repertory Theatre (DGSD/YRT) Manager, Business Operations. Under limited supervision and requiring comprehensive knowledge of university financial and DGSD/YRT policies and procedures, serves as Business Office liaison for various DGSD/YRT departments. Provides complex accounting, problem‑solving, analytical, and administrative support to DGSD/YRT.
Responsibilities- Approve financial transactions, process payroll, and deposit funds. Ensure expenses and revenue are posted to proper accounts.
- Serve as the principal source of information on financial policies, procedures, and financial activity.
- Instruct departmental personnel in financial aspects of their jobs.
- Reconcile and analyze financial statements; identify, research, and correct questionable financial activity.
- Serve as process support for human resources in the areas of seasonal employees, training and compliance, and employee review.
- Prepare standardized and specialized financial reports and analyses.
- Assist with the development and implementation of systems and procedures.
- Perform clerical functions incidental to accounting activities.
- Serve as petty cash cashier.
- Serve as Notary Public.
- Oversee the maintenance of financial records and files.
- May perform other duties as assigned.
- Ability to work overtime, and occasional early mornings, evenings, and weekends.
- Demonstrated excellence in a team environment; strong commitment to customer service; and ability to collaborate effectively and flexibly with a large number of staff, students, interns, guest artists, and other professionals while supporting a diverse and inclusive workplace.
- Ability to multi‑task and prioritize a variety of complex tasks; problem‑solve and analyze complex issues; remain focused with frequent interruptions.
- Ability to guide, train, and mentor; give and follow instructions; strong accuracy and attention to detail.
- Ability to work overtime, and occasional early mornings, evenings, and weekends.
- Experience in a finance‑related environment; ability to handle complex numbers accurately.
Experience with contracts and contract language; purchase orders and bidding. Yale business office experience.
RequiredEducation and Experience
Six years of related work experience, four of them in the same job family at the next lower level, and a high school‑level education; or four years of related work experience and an Associate’s degree; or little or no work experience and a Bachelor’s degree in a related field; or an equivalent combination of experience and education.
Physical RequirementsAbility to sit for long periods of time.
